The Role

The Matter Opening Team are the first point of contact within the firm when dealing with new claims coming into the business. The team are located across a number of locations with the biggest team currently based in Manchester.

The Matter Opening Team are responsible for all the tasks surrounding the procedural elements of a file's life cycle for the Claims teams in the Manchester office. The team are required to follow a number of detailed processes to ensure that Client SLA's are met and all fee earners receive accurate new file information in a timely and efficient manner.

Key Responsibilities

The client administration team deal with the tasks surrounding the procedural elements of a file's life cycle:

Key Responsibilities

  • Undertake duplicate checks across finance system and carry out additional searches across various case management systems as necessary.
  • Submission of key information to Business Acceptance Unit to conduct conflict searches against information provided.
  • Collate additional information received from clients and enter into Case Management System in accordance with client requirements and strict file opening KPI's.
  • Submission of key letters to clients and contacts in line with client requirements as part of initial matter inception.
  • Proactively liaise with all parties involved in the matter inception process as required.
  • Save all documents to Case Management System, ensuring accurate records are maintained on the system of any telephone calls/additional enquiries made as part of the matter inception process.
  • Responsibility for prioritising workload and alerting Team Leaders in timely manner of any issues impacting SLA compliance.
  • Use initiative and experience to identify issues and highlight to Team Leader/Matter Opening Team Manager where necessary.
  • Action requests relating to data updates, file re-opening/closures and general queries in line with agreed internal processes.
  • Documenting by way of telephone note all investigations undertaken to add to Case Management System when matters are opened.
  • Contribute to business improvement and optimisation projects when required.
  • Provide assistance where required to Matter Opening Team Manager in supporting the team as a centre of excellence.
  • Any other admin duties as may be required.

  • Confident in highlighting issues to Team Leader/Matter Opening Team Manager
