Job summary

Derbyshire Healthcare NHS Foundation Trust is seeking an Administrator (NHS AfC Band 3) to provide confidential clerical and administrative support to the Children’s ADHD admin team. The role covers absences and requires strong organisational skills across a broad geographic area.

You will monitor communications, coordinate appointments, and assist with filing and general clerical tasks, while maintaining confidentiality and professionalism throughout.

Qualifications

  • Working knowledge of Microsoft packages, Word, Access, Power point, Excel & Outlook.
  • English GCSE Grade C or equivalent
  • Minimum of one years’ experience in an office environment.

Responsibilities

  • Assist in providing comprehensive, efficient administrative support to the Children’s ADHD admin team under supervision to ensure an effective service.
  • Monitor voicemails and emails, relay messages, and address enquiries from service users.
  • Coordinate admin tasks across a wide geographical area, requiring strong organisational and communication skills.
  • Prepare letters, reports and routine correspondence; type as required.
  • Manage appointment letters and co-ordinate nursing rotas on System One; indicate face-to-face or phone appointments.

Job overview

This role will be responsible for assisting in the provision of a comprehensive and confidential clerical and administrative support service to Children’s ADHD admin team, to ensure an efficient service, and cover for absences in different teams as and when required.

Main duties of the job

To assist in the provision of a comprehensive, efficient administrative support to the Children's Complex Health ADHD admin team under the supervision of the ADHD Co-Ordinator to ensure an effective service is given to all service users.

To monitor voicemails and emails accurately taking and relaying messages and addressing all enquiries made by service users, in a discrete and helpful manner.

Working on own initiative, prioritising and delivering a service that covers a vast geographical area that requires organisational skills and communication skills to co-ordinate the service from an admin perspective.

Provide a comprehensive support service to the designated team including typing/word processing of letters, reports and other routine correspondence.

Sending SMS text reminders to reduce service rate of ‘was not brought appointments.

Accepting electronic referrals from internal departments.

Supporting the smooth delivery of admin services; being able to raise internal concerns, impacts and improvements within the team.

Receive and make telephone calls, taking messages and dealing with enquiries appropriately and ensuring accurate and timely communication of messages.

Provide cover for other admin teams within the Children's Complex Health team as required and designated by the Nominated Supervisor / Manager.

Ensure effective support and rebooking of appointments as required.

Accepting electronic referrals from internal departments.

Supporting the smooth delivery of admin services; being able to raise internal concerns, impacts and improvements within the team.

Support the team with room bookings and booking of appointments as required.

Ensure the maintenance of accurate and efficient filing systems, ensuring strict confidentiality of client identifiable information.

Prioritise and undertake general clerical tasks, including photocopying, filing, processing of mail etc.

Receive and make telephone calls, taking messages and dealing with enquiries appropriately and ensuring accurate and timely communication of messages.

Provide cover for other admin teams within the Children's Complex Health team as required and designated by the Nominated Supervisor / Manager.
