Job summary

Catch22 is hiring a Custody Case Administrator to support the Offender Management unit at HMP Thameside. You will manage offender data, assist with meetings, and liaise with external agencies to ensure efficient sentence planning and case progression.

The role requires strong administrative skills, experience with MS Office, and the ability to work to tight deadlines in a correctional environment.

Qualifications

  • General knowledge of prison departments and functions.
  • Experience with common Microsoft Office programs (Outlook, Excel, Word, PowerPoint).
  • Experience performing comparable administrative work in an office environment.
  • Ability to prioritise tasks and organise work to tight deadlines.

Responsibilities

  • Offender Management Coordination: collect, prepare and record offender information in paper and computer systems.
  • Data Management: input, revise and retrieve case data in the OMU database.
  • Compliance Monitoring: support KPI targets and report weekly progress to Coordinators.
  • Meeting Documentation: prepare minutes for Discharge Boards, MARAP, Sentence Planning, and OM meetings.
  • Stakeholder Liaison: work with Police, Probation, and CRC to support sentence planning.
  • Administrative Support: provide comprehensive admin support to Case Managers and senior managers.
  • Colleague Coverage: cover duties during absences to ensure continuity.
  • Process Support: assist with HDC and OCA processes and track prisoner movements.

Job Description

This is a great opportunity to join our team at HMP Thameside. We are seeking to recruit a Custody Case Administrator to support our team in HMP Thameside, who provide Offender Management and Gangs’ service. You will ensure the effective delivery of administrative and organisational support, enabling Custody Case Managers to manage caseloads of sentenced and remand prisoner as well as supporting with departmental targets and budget requirements. Some of your responsibilities will include:

  • Offender Management Coordination: Collect, prepare, collate, and record offender information in both paper and computer systems, ensuring accurate data management within the Offender Management Unit (OMU).

  • Data Management: Perform data entry, revision, and retrieval operations, ensuring that all relevant case data is promptly inputted into the OMU database for accessible performance information.

  • Compliance Monitoring: Ensure compliance with contract Key Performance Targets (KPTs) by encouraging timely completion of Offender Management functions and regularly updating Coordinators on weekly target achievements.

  • Meeting Documentation: Prepare and produce accurate minutes of Offender Management meetings, including Discharge Boards, MARAP meetings, Sentence Planning Boards, and Offender Manager Meetings, within tight deadlines.

  • Stakeholder Liaison: Collaborate with external agencies such as the Police, Probation, and Community Rehabilitation Companies (CRC) to ensure efficient sentence planning and offender management processes, proactively resolving any issues.

  • Administrative Support: Provide comprehensive administrative support to Case Managers and senior managers, facilitating the smooth operation of the Offender Management department.

  • Colleague Coverage: Step in to cover the duties of colleagues during absences or emergencies, ensuring uninterrupted service delivery within the Offender Management department.

  • Process Support: Assist with Home Detention Curfew (HDC) and Observation, Categorisation, and Allocation (OCA) processes, keeping Case Managers informed of prisoner movements and transfers within the prison system.

Qualifications

  • A general knowledge of the prison departments and functions.
  • Knowledge on the different Microsoft programmes including outlook, excel, word and PowerPoint.
  • Good experience of carrying out comparable administrative work in an office environment.
  • Ability to prioritise tasks and organise your own work effectively, including working to tight deadlines.
  • General organisational and administration skills.

Additional Information

Contract: Permanent

Hours & work pattern: Part time, 15 hours per week (Tuesday & Thursday)

Salary: £28,126.04 (FTE); £11,250.42 pro rata.

Location: HMP Thameside
