Job summary

Influencer Ltd is seeking a Business Systems Manager to own Ocean and the broader suite of business systems, collaborating with Product & Engineering to deliver impactful changes across the organisation.

You will drive requirements, configure and integrate tools, and lead rollout, training, and adoption across multiple markets while ensuring governance of internal applications.

Qualifications

Overview of the job

The Business Systems Manager owns and continuously improves the systems Influencer uses to run the business.

The role's primary responsibility is Ocean, alongside our wider portfolio of business systems including HubSpot, Ironclad, Guru and other internal tools.

You will work with teams across Influencer to understand what they need from our systems, turn those needs into clear requirements and make sure improvements are delivered and adopted.

For Ocean, the Business Systems Manager owns the business requirements, workflows and adoption, working closely with our internal Product & Engineering team, who own product direction and technical delivery.

The Three Core Pillars

1. Ocean & Business Systems
Our systems should make it easier to run Influencer, not create more work around them. This role owns the day-to-day business side of Ocean and our wider systems portfolio, making sure every platform has a clear purpose and works effectively for the teams using it.

  • Ocean: Act as the day-to-day business owner of Ocean, ensuring it supports how teams across Influencer need to operate.

  • Application Ownership: Manage our core business systems including Ocean, Sonar, HubSpot, Ironclad, Guru and other internal applications.

  • System Effectiveness: Ensure our systems are configured and used in a way that solves real business needs. Making sure our systems work well together and identify unnecessary tools, duplication, gaps and workarounds.

  • User Feedback: Relentlessly gather, analyse, and act on feedback from cross-functional teams to refine our workflows and optimise our tech stack.

2. Improve Our Systems

As Influencer grows, processes that worked at a smaller scale will not always continue to work. This role is responsible for finding that friction and turning it into better workflows and better systems.

  • Business Requirements: Gather, structure and prioritise requirements from teams across Influencer.

  • Platform Optimisation: Champion new and underutilised features, helping teams move away from manual workarounds by leveraging existing platform capabilities.

  • Delivery: Translate business needs into clear configuration, integration or product requirements and work with Product & Engineering or relevant platform providers to deliver them.

  • Build vs Buy: Support the Director of Business Operations on platform selection, system architecture and build-vs-buy decisions.

3. Rollout, Adoption & Governance
Building or buying a tool is only the start. This role makes sure new systems and internally built tools are introduced properly, have clear ownership and become part of how the business actually operates.

  • Implementation: Own the business side of system implementations, releases and changes.

  • Testing & Adoption: Coordinate testing, rollout, documentation, training and adoption across teams and markets.

  • Internal Tools: Maintain oversight of internally built business tools, ensuring there is clear visibility of what has been built, who owns it and what business need it serves.

  • Internal Tool Governance: Own the business process for how team-built tools and experiments become supported company applications, working with Product & Engineering on technical and deployment standards and IT & Information Security on security, access and data requirements.

  • Lifecycle: Ensure business-critical tools are properly supported, maintained and eventually retired or replaced when they are no longer needed. Proactively keeping an eye on new and emerging ones which could consolidate our stack, or solve additional problems.

Measures of success:
  • Ocean: Priority workflows successfully deployed and adopted, with measurable improvements in how teams operate.

  • Business Systems: Clear ownership and effective day-to-day management of Influencer's core business systems.

  • Improvement: High-impact system and workflow improvements delivered against agreed business priorities.

  • Simplification: Reduction in manual processes, duplicated tools and unnecessary workarounds.

  • Internal Tools: A clear and scalable process for how internally built applications are approved, supported and managed.

  • Adoption: Strong and consistent usage of agreed systems across the business.

What We're Looking For
  • 5+ years' experience in Business Systems, Business Applications, Enterprise Applications or a similar role.

  • Experience owning and improving multiple business-critical systems.

  • Experience with CRM, contract management, workflow, knowledge management or similar platforms.

  • Comfortable presenting and running training sessions.

  • Strong experience gathering, structuring and prioritising business requirements.

  • Experience working with Product & Engineering or technical teams to deliver system improvements.

  • Strong understanding of workflows, integrations and how business applications connect.

  • Experience managing system implementations, releases and adoption.

  • Strong stakeholder management skills, including working with senior functional leaders.

  • Structured, commercially minded and focused on solving problems simply.

  • Comfortable operating in a fast-growing, multi-market business.
