The Role
Executive Assistant
To provide efficient and effective executive office management support to the Leadership Team at British Airways Maintenance Glasgow.
What You’ll Do
Deliverables
- Management of specific business issues at the direction of the Head of Operations and/or Leadership Team.
- Collaborate with Internal Communications BP to ensure a regular programme of directorate-level communications aligned with corporate messaging (e.g., results, significant changes, announcements).
Reporting
- Proactively track and manage cross-directorate compliance and milestones (e.g., mandatory learning, absence).
- Prepare and submit reports as required.
- Communicate effectively about area activities and initiatives.
Coordination
- Organize and manage schedules of meetings and events for the Leadership Team.
- Lead and support projects such as recruitment and onboarding.
- Manage relationships with external contacts, ensuring timely responses and follow-up.
- Facilitate collaboration across the directorate.
- Coordinate virtual (e.g., Microsoft Teams) and physical events.
- Take minutes and notes as needed.
- Manage key administrative and HR processes, health surveillance, sickness absence, security.
- Seek automation opportunities for processes.
- Align team activities with key business partners for coordinated outputs.
What You’ll Bring To British Airways
- Strong project and change management skills.
- Ability to build relationships and manage stakeholders effectively.
- Excellent planning skills and follow-through.
- Ability to work under pressure and handle complex situations with structure.
- Self-motivated with decision-making based on data and initiative.
- Data analysis and interpretation skills.
- Knowledge of Lean and Continuous Improvement techniques is desirable.
Your Experience
- Education to Level 4 (e.g., HNC, HND, FD) or equivalent.
- Proficiency in PC skills, including spreadsheets, Word, Notes, Excel, O365, PowerPoint, and databases.
- Experience in delivering engagement-led change in operational environments, including remote teams.
- Ability to meet deadlines and standards.
- Focus on customer and business requirements.
- Ability to follow processes and procedures.
