Job summary

NHS Greater Glasgow and Clyde (NHSGGC) is seeking a part-time administrative professional to provide comprehensive secretarial and administrative support to In-Reach, Specialist Children's Services. The role requires independent work, strong organisational skills, and effective use of electronic systems.

The post is part of the SCS Business Support Team with on-site duties at Queen Elizabeth University Hospital, offering flexible working patterns where service needs allow and a supportive

Qualifications

  • Competency in computer packages evidenced through experience or a formal qualification (e.g. ECDL).
  • Good knowledge of office procedures and administrative systems.
  • Previous experience working in a secretarial or administrative role.
  • On-site training and full induction will be provided.

Responsibilities

  • Provide comprehensive secretarial and administrative support to the service.
  • Process referrals using electronic patient management systems.
  • Manage telephone calls, enquiries and emails.
  • Undertake audio typing and minute taking.
  • Collate and update micro-strategy data on electronic systems.
  • Carry out ad hoc administrative duties to support the service.
  • Work closely with Senior Business Support Assistants, providing updates and progressing operational tasks.
  • Continually prioritise workload to meet service demands.

Job description

NHS Greater Glasgow and Clyde (NHSGGC) is one of the largest healthcare systems in the United Kingdom, employing approximately 40,000 staff across a wide range of clinical and non-clinical professions and roles. We deliver acute hospital, primary, community and mental health services to a population of over 1.15 million people, and to a wider population of 2.2 million when regional and national services are included.

The role:

The post forms part of the SCS Business Support Team, providing comprehensive secretarial and administrative support to In-Reach, Specialist Children's Services. The post-holder will undertake a variety of administrative duties, working independently for much of the time and demonstrating a clear understanding of the service.

This role does not meet the eligibility criteria for a Skilled Worker visa or a Heath and Care Worker visa. NHS Greater Glasgow and Clyde (NHSGGC) is unable to provide candidates or employees with a Certificate of Sponsorship (COS).

Duration, Location, and Working Pattern:

Permanent, part-time - 21.41 hours per week

Shift Pattern - 9 am- 5 pm Wednesday to Friday OR 8 am - 4 pm Wednesday to Friday

Base location - Queen Elizabeth University Hospital

Key responsibilities:
  • Provide comprehensive secretarial and administrative support to the service.

  • Demonstrate effective team-working skills.
Knowledge, training, qualifications and/or experience required to do the job:
  • Competency in the use of a range of computer packages, evidenced through experience or a formal qualification (e.g. ECDL).
  • Good knowledge of office procedures and administrative systems.
  • Previous experience working in a secretarial or administrative role.
  • HNC in Secretarial Studies or Business Administration, or
  • SVQ Level 3 in Administration, or
  • Significant relevant equivalent practical experience.
  • Full induction will be provided.
  • On-site training will be provided.
