Job summary

NHS Greater Glasgow and Clyde is seeking a receptionist and administrative support to join the Community Administration Team. The role provides essential front-line reception, clerical and data input support to clinical services and requires flexibility across locations.

Base location is Renfrew Health & Social Work Centre with a 36-hour week. You will follow established procedures, maintain records, and work with colleagues across NHSGGC and partner bodies to ensure smooth service delivery.

  • Understanding of record management and data input processes.
  • Ability to communicate effectively with a wide range of people including patients and staff.
  • Awareness of confidentiality, professionalism and customer service standards.
  • Training in fire warden responsibilities, fault reporting and basic security.

Responsibilities

  • Providing reception services and acting as a first point of contact for patients, visitors and staff.
  • Undertaking data input, record management and general typing duties.
  • Maintaining accurate records and administrative systems.
  • Communicating with patients, staff, schools and external organisations.
  • Supporting the Community Administration Service functions.
  • Carrying out building and operational tasks to maintain premises, including fire warden duties, fault reporting and basic security.

The role:

The post forms part of the Community Administration Team and provides vital reception, clerical and administrative support to clinical services. The role requires flexible working across various locations, following agreed procedures and protocols to ensure the effective delivery of community healthcare services.

This role does not meet the eligibility criteria for a Skilled Worker visa or a Health and Care Worker visa. NHS Greater Glasgow and Clyde (NHSGGC) is unable to provide candidates or employees with a Certificate of Sponsorship (COS).

Duration, Location, and Working Pattern:
  • Permanent, Full-time
  • 36 hours per week
  • Base location - Renfrew Health & Social Work Centre
Key responsibilities:
  • Providing reception services and acting as a first point of contact for patients, visitors and staff.
  • Undertaking data input, record management and general typing duties.
  • Maintaining accurate records and administrative systems.
  • Communicating regularly with patients, members of the public, staff, records officers across NHSGGC and other health boards, and schools where required.
  • Supporting the generic functions and duties of the Community Administration Service.
  • Carrying out building and operational tasks to maintain the smooth running of premises, including:
    • Fire warden duties.
    • Fault reporting.
    • Basic security responsibilities.
  • Ensuring all interactions are conducted in a courteous, professional and customer-focused manner.
Knowledge, training, qualifications and/or experience required to do the job:
  • Knowledge of reception, clerical and administrative procedures.
  • Understanding of record management and data input processes.
  • Ability to communicate effectively with a wide range of people, including patients, staff, schools and external organisations.
  • Awareness of confidentiality, professionalism and customer service standards.
  • Training and competence in operational duties such as fire warden responsibilities, fault reporting procedures and basic security measures.
  • Ability to work flexibly and follow agreed organisational procedures and protocols.
