We are looking for a facilities apprentice to ensure the smooth day‑to‑day running of the facilities function.
Key Responsibilities
Facilities and General Office
- Undertake regular stock takes of stationary, catering supplies, hygiene products and other consumables, reordering as necessary.
- Keep the coffee machines clean and provisioned and act as the first point of contact for any faults or engineer visits.
- Maintain office printers, ensuring that they are well stocked with paper and ink.
- Monitor the facilities inbox and respond to or deal with enquiries in an appropriate manner.
- Assist with office moves and workstation set‑up – updating the office floor plan in a timely manner.
- Ensure that the building is kept looking clean and tidy, including client and communal areas, around the front and rear doors, the kitchen and washroom.
- Work closely with the receptionists, ensuring any refreshments for training sessions and meetings are ordered, set out and cleared away as required.
- Ensure that client areas and meeting rooms are clean, properly provisioned and have the required refreshments and documentation such as Wi‑Fi passwords in place.
- Reserve parking spaces as requested.
- Transport items between offices and to other locations as necessary.
- Cover reception in the absence of the receptionists.
Property
- Maintain the company property register and company asset log as movement occurs.
- Run the weekly fire alarm test.
- Support maintenance projects as required, updating the site maintenance log as necessary.
- Undertake building inspections in accordance with checklists, identify any concerns/issues in the building and raise them to the relevant person.
Administration
- Sort incoming office post and deliveries.
- Frank outgoing post and ensure that the franking machine is maintained and loaded with sufficient funds.
- Log all incoming cheques and deliver them to the bank with a completed paying‑in book.
- Log files for digital storage, arrange collections and destruction of hard‑copy documents as required. Request files and deeds from Stephens when required and assist in the location of older files and deeds.
- Check invoices.
- Provide other admin support as and when requested, such as photocopying, ordering business cards, etc.

Desired Qualifications
GCSE or equivalent Grade 4/C or higher in maths and English desirable but not essential. Applicants must not already hold a level 3 or higher in Business Administration.

- Role within Practice Support Team (i.e. Marketing, Finance, Facilities, IT).
Training
Full training will be provided by the employer and KEITS at the place of employment. The applicant will be working towards a Level 3 Business Administration Apprenticeship. The learner will be allocated an industry‑specific training consultant who will provide both remote and on‑site visits throughout the apprenticeship.
