Purpose of Job
The Digital Workplace encompasses a range of technologies and tools, including Microsoft 365 (M365), M365 Copilot, Robotic Process Automation (RPA), Digital Devices (laptops and mobile devices), Business Applications, and various projects run and governed by the Digital Workplace capability.
The Digital Workplace Business Change, Adoption, and Communications Lead is responsible for driving the successful adoption and utilization of Digital Workplace tools and technologies within the organization.
Accountabilities & Responsibilities
Change Management:
- Engage early to build understanding and awareness of upcoming changes.
- Gather core information about teams and groups to understand their structure, use cases, and data requirements, considering potential impacts on change processes.
- Identify non-standard requirements that could disrupt change and incorporate these into evaluation and decision-making.
- Develop and implement strategies to support digital workspace adoption.
- Identify barriers to change and develop mitigation strategies.
- Engage stakeholders at all levels to secure buy-in and support.
- Guide users through preparatory activities for deployment.
- Build a network of change champions within the business.
User Adoption:
- Design and execute programs to increase usage and proficiency.
- Conduct training sessions and create user-friendly documentation.
- Signpost users to training materials and support resources.
- Monitor adoption metrics and KPIs to evaluate effectiveness and improve initiatives.
- Organize stakeholder meetings for updates and feedback.
Communication:
- Develop and implement communication plans to inform and engage employees.
- Manage communication activities related to change initiatives.
- Act as liaison between IT and business units for clear messaging.
Stakeholder Engagement:
- Build and maintain relationships with key stakeholders.
- Facilitate workshops and meetings for feedback and updates.
- Serve as the main communication point for digital workplace changes.
Other
- Manage updates of the Adoption Team’s core products (e.g., trackers, templates, plans).
Knowledge, Skills, Experience & Qualifications
- Bachelor’s degree in Business Administration, IT, Communications, or related field.
- At least 5 years of experience in change management, user adoption, and communications within digital or IT environments.
- Proven success in managing business change and driving digital tool adoption.
- Strong understanding of digital workplace technologies (e.g., Microsoft 365, M365 Copilot).
- Experience developing and implementing communication strategies for large projects.
- Proficiency in creating training materials and conducting training sessions.
- Excellent communication skills (verbal and written).
- Strong leadership and interpersonal skills.
- Ability to work collaboratively with diverse teams.
- Analytical mindset with data interpretation skills.
- Creative thinking and problem-solving abilities.
