Responsibilities

  • Manage inboxes and schedules for agents and clients.
  • Arrange meetings, logistics, and meeting documentation.
  • Resolve enquiries promptly or escalate as needed.
  • Handle agent expenses and basic accounting tasks with Accounts team.
  • Coordinate travel and accommodation for agents and clients.
  • Provide cover when agents are away and answer calls.
  • Support updating client materials and assist immigration-related needs.

Job description

UTA are looking for an Assistant to work with two of our Creator Agents. The Agents support clients across audio and digital.

The Assistant will have previous experience working within a similar industry and be able to demonstrate an ability to work within a fast-paced and high-pressured environment.

You will be responsible for managing both your Agents’ and Clients’ schedules, seeking new opportunities across the industry and quickly gaining an understanding and knowledge of clients’ work and specific requirements, ensuring the smooth running of your Agent’s office.

What You’ll Do
  • Managing your inbox in an efficient, timely and proactive manner.
  • Scheduling meetings/agendas for agents, preparing logistics and documentation for meetings as required.
  • Proactively resolving enquiries or escalating as appropriate.
  • Regular management and submission of the agent’s expenses and accounting.
  • Coordination of the agent’s travel and accommodations.
  • Providing cover for the agents when they are away from the office.
  • Answering the phone, transferring calls to agent, taking messages and covering for colleagues when they are away from their desks.
  • Processing invoices, tracking client payments , submitting client expenses and other basic accounting tasks on an ad hoc basis, working closely with our Accounts team.
  • Maintaining client and business contact details, sending out terms of business as required.
  • Building and maintaining relationships with production companies and other business contacts, attending live client events as required.
  • Listening to podcasts on an ongoing basis and discussing observations/opinions with colleagues in the department.
  • Submitting material and following up on proposals made by the agent.
  • Setting up and co-ordinating meetings for the agent and their individual clients.
  • Supporting the agent on updating client materials when required.
  • Assisting management with immigration needs, such as immigration forms, assigning sponsorship certificates for clients travelling to the UK, and maintaining current passport copies.
What You’ll Need
  • Previous experience within the entertainment industry ( including but not limited to audio, digital, marketing) is desired.
  • Pre-existing knowledge and interest in podcasts, social media and the US market .
  • General understanding of the entertainment industry and the nature of a talent agency.
  • Excellent verbal and written communication skills.
  • Excellent organisational skills.
  • Familiarity with Microsoft products (Outlook, Word, Excel)
  • A high level of accuracy and attention to detail in your work.
  • Discretion at all times, particularly when dealing with sensitive client matters.
  • Experience of using social media platforms.
  • Ability to prioritise a busy workload.
  • Ability to develop and maintain strong business relationships.
  • Conducting yourself in a professional manner.
