Responsibilities
- Estimate Generation – approx 35%:
Utilize architectural drawings and/or historical data to generate accurate project estimates. Collaborate with directors to ensure estimates align with project requirements and budget constraints. - Communication Management - approx 10%:
Handle inbound office communication both internally and externally. Filter and prioritize communication between internal supply chain teams and external stakeholders. Maintain clear and concise communication channels to ensure project progress and resolve issues promptly.
This includes weekly updates to clarify expectations and priorities. - Project Management assistance - approx 15%:
Assist in managing smaller ad hoc graphic requirements for stakeholders, ensuring quality and timeliness. Track timelines and deliverables, ensure milestones are met, and maintain adequate materials for operations. Conduct risk assessments and generate method statements prior to on-site projects. Attend external installation sites occasionally to foster relationships with on-site teams and stakeholders. - Pre-qualification questionnaire compliance – approx 10%:
Help oversee completion and submission of PQQs to keep the company eligible for tenders.- Coordinate with departments to gather necessary documentation.
- Maintain an up-to-date database of company qualifications and compliance documents.
- Review and update PQQ responses regularly.
- Manage submission deadlines and completeness.
- Research and Innovation - approx 5%:
Research new projects to add value, identify innovative or sustainable material opportunities for approval, and gather visual content for marketing. Ensure all visuals and text meet quality standards, align with branding, are original, and relevant to current campaigns. - Financial Oversight - approx 25%:
Finalize project costs monthly, monitor budgets and expenses, and review cost queries with directors and finance.
