Job Description

  • Representative of the Executive Management:

The AFOM will handle guest requests for management team members. In these situations, the AFOM must use tact and diplomacy to resolve issues swiftly, ensuring guest satisfaction while respecting Pullman Ninh Binh's procedures and organization.

The AFOM will maintain constant communication with the Front Office Manager to report guest comments or issues and ensure effective coordination and communication.

It is essential to keep accurate records in the logbook of items and incidents of concern or requiring further attention per shift.

  • Lobby Coordination:

The AFOM will spend time in the lobby to build relationships with guests and the Front Office team, ensuring a management presence is always available.

  • Leader of Communication:

The AFOM will actively participate in daily FOM briefings, bringing questions, case studies, and new ideas. During the absence of the FOM, the AFOM will conduct these briefings, encouraging interaction and ensuring clear communication lines are maintained.

The AFOM will ensure the logbook is updated and accurate, providing detailed handovers of daily activities, issues, follow-ups, and incomplete tasks.

  • Supervision & Controls: The AFOM supervises overall Front Office operations, ensuring coordination, adherence to standards and procedures, and proper follow-up on room requests and priorities with housekeeping.

The AFOM is responsible for compliance with financial and audit procedures, conducting spot checks, and signing off on official documents. They will also keep records of items in the safe and motivate staff in selling and upselling programs, ensuring rates match instructions and controls are followed.

Privacy: Respect guest confidentiality and ensure no transmission of guest names or history information.

The AFOM will keep all Front Office areas clean and tidy at all times.

  • Security Responsibilities:

The AFOM will oversee secure opening procedures, coordinate with Security, and record actions taken. In emergencies like fire, they will coordinate response efforts per established procedures, ensure staff are informed, and report any suspicious behavior or conflicts immediately.
