Steamship Mutual is a P&I insurance company with 210 employees worldwide. The main office is near Liverpool Street station, London, with additional offices in Bermuda, Brazil, Cyprus, Greece, Hong Kong, Japan, New York, and Singapore.

Overall Job Purpose:

To assist the Company Secretary in providing comprehensive administrative support to the Board and Committees within Steamship, including preparing and distributing Board Papers in a timely manner.

Key Responsibilities:

  • Club Board Meetings: Assist in preparing meeting materials, planning travel and entertainment, and coordinating logistics.
  • Management Company Board Meetings: Prepare Board materials, coordinate logistics, attend meetings for minute-taking, and support Directors with travel bookings and ad hoc requests.
  • AGMs and EGMs: Schedule, prepare notices, and take minutes for internal and Club entities.
  • Management Committees: Schedule, prepare, distribute papers via Diligent, take minutes, and maintain documentation on SharePoint.
  • Terms of Reference & Policies: Coordinate reviews and manage schedules, ensure SharePoint and Diligent manuals are up-to-date.
  • Additional Duties: Support the Company Secretary and Head of Legal, assist with onboarding, and perform other ad hoc duties.

Person Specification:

  • Experience in company secretarial, administrative, or board-level roles, preferably in Financial Services or Regulatory environments.
  • Attention to detail, excellent communication, and organizational skills.
  • Proficiency in Excel, Word, PowerPoint; familiarity with Diligent, SharePoint, and Companies House filings is advantageous.
  • Trustworthy, professional, and capable of handling confidential information.
  • Ability to multitask and prioritize effectively.
