Job summary

Halcyon Gallery is seeking a Client Services Coordinator to support our Art Consultants in delivering excellent client experiences. The role requires coordinating between Operations, Creative, Sales and Accounts to maximise opportunities and ensure smooth client transactions.

Key responsibilities include tracking transactions, managing stock and artwork movement, and assisting invoicing and payment processes.

Qualifications

• 3+ years of experience in client services or coordination.
• Excellent written and spoken English communication skills.
• Strong interpersonal skills and teamwork.
• High level of organisation and attention to detail.

Responsibilities

• Track and follow up on client transactions.
• Monitor progress and resolve bottlenecks.
• Track artwork availability, reservations and stock status.
• Arrange sales presentations with the Creative team.
• Coordinate with stock teams on artwork movement.
• Assist with invoicing preparation and liaise with Accounts.
• Monitor payment status and support queries.
• Prepare reports, documents and meeting materials.
• Maintain accurate filing and database records.
• Identify and improve internal workflows across departments.
