Job Summary
The Ministry of Defence employs over 50,000 Civil Servants. Within that, the Army Top Level Budget (TLB) employs around 12,000 MOD Civil Servants located at over 300 locations. Ours is a diverse workforce, with roles ranging from trainers, human resources, teachers, and psychologists to storekeepers, financiers, project and programme managers, and policy secretariat staff. There are many different functions and professions delivering key outputs for the Army.
As a result of the 2022 Integrated Review, 3 ROYAL WELSH have been directed to grow an extra Infantry Army Reserve (AR) Company (Coy) in Wrexham.
The aim and mission of all members of the permanent staff is, always ensure that Reservists are able to train on time, with the right equipment and with all administration completed. The applicant needs to understand the wider picture, be pro-active and able to trouble-shoot, often with little notice. The role of the Coy Admin Officer is crucial to the smooth and efficient operation of the company and is responsible in ensuring that the admin piece is swept up, be that for one reservist who is training, or one hundred.

You will be required to travel, on occasion, to Regimental Headquarters (RHQ) in Maindy Barracks, Cardiff, (transport provided) in order to attend initial and refresher training (where required), as well as meetings.

The Administration Officer (AO) will be responsible for general administrative support to A Coy 3 R WELSH using a variety of manual, IT based and legacy systems. The Coy AO is directly responsible for the pay, administration, and documentation of all Coy personnel. The timely submission of various reports to Battalion Head Quarters (BHQ) & outside agencies and any tasks as directed by the Regimental Administration Officer (RAO) 3 R WELSH in direct support of BHQ.
This is a rare and valuable opportunity to work in a dedicated team that requires a motivated individual, with clarity of thought and strong work ethics. The role is a particularly rewarding one, and at times, fast paced. It requires a professional who will take pride in completing tasks on time, and to a very high standard.
Key Responsibilities Of An Administration Officer:
- You will provide administrative support, including documentation for attendance, recruitment, discharge and any related administrative actions.
- Plan, prioritise and meet deadlines along with demonstrating strong interpersonal skills.
- To carry out a multitude of administrative tasks with the overall aim of supporting the day-to-day functioning of A Company, 3 Royal Welsh.
- Monitoring of a group mailbox.
- Arranging travel for military personnel via approved channels.
- Assist in the administration of documents and record management in accordance with policy.
- The maintenance of unit SharePoint site.
- Electronic and manual filing systems in accordance with policy and legislation.
- General office duties including, but not limited to, note taking, drafting letters, scanning.
- Undertake regular compliance and assurance checks on military specific systems – full training will be given.
- Engaging with a wide range of military and civilian stakeholders at all levels.
- A keenness to help out all members of the company is needed, as a certain amount of redundancy and covering of roles for brief periods is inevitable across any given training year.
- Demonstrate enthusiasm, flexibility and motivation.
- Strong IT skills.
