Job description

Apprenticeship Team Coordinator

The Apprenticeship Team Coordinator provides reliable, high-quality coordination and administrative support across the apprentice journey. The role connects learners, employers, Delivery Coaches and internal support functions, ensuring that onboarding, records, communications, meetings and follow-up actions are completed accurately and on time. This is a coordination and administration role. It does not replace the professional accountability of Delivery Coaches for teaching, learning, assessment or progress decisions, nor the accountability of specialist teams for compliance, safeguarding, SEND or quality assurance.

Responsibilities
  • Coordinate enrolment and onboarding activity from initial referral through to an agreed start.
  • Issue welcome information and joining instructions, gather required documentation and monitor outstanding actions.
  • Create and maintain accurate learner records and ensure information is available to relevant colleagues.
  • Coordinate initial appointments and handovers between learners, employers and Delivery Coaches.
  • Support progress reviews, learner meetings and other key activity, working with Delivery Coaches and employers.
  • Coordinate employer meetings, invitations, papers, notes and follow-up actions.
  • Gather information and maintain complete, accessible employer documentation.
  • Track agreed employer actions and support timely resolution or escalation.
  • Maintain organised, accurate and auditable records in line with agreed processes and data protection requirements.
  • Collate evidence and documentation for internal reviews, audits and external assurance activity.
  • Support reporting, action tracking and deadline monitoring across the provision.
  • Complete routine data checks, identify gaps or inconsistencies and refer them for correction.
  • Provide meeting, diary, inbox, action-log and document administration for the Apprenticeship Team.
  • Support resource planning, team communications and coordination of shared activity.
About You
  • Experience of providing high-quality coordination or administration in a busy, customer-focused environment.
  • Experience of maintaining accurate records, trackers and documentation across multiple workstreams.
  • Confident user of Microsoft 365, including Outlook, Copilot, Teams, Word and Excel, with the ability to learn new systems quickly.
  • Strong written and verbal communication skills, with the confidence to liaise professionally with learners, employers and colleagues.
