Job description

About The Role

Apprenticeship Onboarding Officer - 12 month Fixed Term contract

This is a remote based role but must be commutable to the Birmingham office for training and occasional onsite workshops and sessions.

Help people take the first step towards building their future

AI, technology and digital capability are changing how organisations operate, compete, and grow. But transformation only works if businesses have the people and skills to deliver it.

That is where QA comes in.

QA is the UK’s largest technology learning provider, working with 96% of the FTSE and most Fortune 500 companies to help organisations build the AI, technology, digital and human skills they need for the future.

In the last three years alone, QA has supported 4,000+ organisations and more than one million learners.

But developing skills is only part of the challenge. Organisations need to apply those skills back into the business and turn learning into meaningful change. QA helps them do that through a broad portfolio spanning apprenticeships, instructor‑led training and self‑paced learning.

Apprenticeships play an important part in this, helping individuals develop valuable skills, gain practical experience and build meaningful careers while supporting organisations to develop their future talent.

And every successful apprenticeship starts with getting the onboarding experience right.

That creates an opportunity for organised, customer‑focused individuals who enjoy working with people, managing processes and making a genuine difference to someone's learning journey.

Where you come in

As an Apprenticeship Onboarding Officer, you’ll play an important role in helping learners successfully begin their apprenticeship journey with QA.

Your job is to guide apprentices and their employers through the onboarding process, ensuring they have the information, support and documentation needed to get started.

You’ll manage your own caseload of learners, taking ownership of their journey from initial application through to their programme start date.

This is about more than processing paperwork.

You’ll be helping learners understand what to expect, answering questions, building relationships and making sure they feel confident and prepared for the next stage of their development.

It’s a busy, process‑driven role where accuracy, organisation and attention to detail really matter. You’ll work towards clear operational targets and deadlines while ensuring every learner receives a positive and professional experience.

And you’ll be doing that within a business where learning, development and helping people progress are at the heart of what we do.

What you’ll be doing
  • Managing a caseload of apprentices from initial application through to their programme start date
  • Conducting enrolment calls with learners and employers, explaining the apprenticeship journey and setting clear expectations
  • Guiding learners through the information and documentation required to successfully enrol
  • Ensuring learner records and enrolment documentation are accurate, complete and submitted in line with regulatory and compliance requirements
  • Delivering against operational KPIs, deadlines and service level agreements
  • Providing a positive onboarding experience for learners, line managers and internal stakeholders
  • Identifying potential delays or risks and escalating these appropriately to keep onboarding on track
  • Working closely with sales teams and colleagues to ensure clear communication and a smooth transition into learning

The strongest Onboarding Officers do more than simply follow a process. They build trust, communicate clearly, stay organised and take pride in getting things right first time.

Making a difference from day one

Starting an apprenticeship can be an important step in someone's career.

For some, it could be their first opportunity to develop professional skills in the workplace. For others, it could mean gaining new qualifications, progressing in their current role or moving into a completely different career.

The onboarding experience helps set the tone for that journey.

At QA, you’ll help learners and employers navigate that first stage, ensuring they understand the process, know what's expected and feel supported before their programme begins.

Your work will directly contribute to a positive learner experience while helping QA maintain the quality, accuracy and standards needed to deliver successful apprenticeship programmes.

Who tends to do well here?

We're looking for people who are:

  • Highly organised and able to manage multiple tasks and deadlines
  • Detail-oriented, with a strong focus on accuracy and getting things right first time
  • Confident and engaging communicators who enjoy helping people
  • Comfortable working towards targets and delivering against deadlines
  • Proactive and able to take ownership of their workload
  • Calm and professional when working under pressure
  • Good at building relationships with customers and colleagues
  • Flexible, adaptable and willing to learn new processes

You might already have experience in customer service, administration, onboarding, education, learner support or another role where organisation, accuracy and communication are essential.

Previous experience within apprenticeships or education would be an advantage, but it isn’t essential.

More important is your approach.

We want people who take pride in their work, enjoy supporting others and understand the importance of delivering a positive experience while maintaining high standards.

We'll invest in your development too

QA is a learning business, so development is not just something we offer to our customers.

You’ll have access to:

  • Ongoing support and guidance from your team and experienced colleagues
  • QA‑authored technology and business learning
  • Dedicated development days
  • Opportunities to build your knowledge of apprenticeships, learner services and operational processes
  • Exposure to emerging areas including AI, data, cloud and cyber
  • Further learning opportunities including Degree and Master's programmes

You’ll be expected to bring the commitment, organisation and willingness to learn.

QA will give you the environment, support and opportunities to develop.

The opportunity

If you’re organised, enjoy working with people and want a role where your attention to detail and ability to get things done can make a genuine difference, this is an opportunity worth exploring.

You’ll be joining a team that plays an important part in helping learners begin their apprenticeship journey, within a business that is committed to developing skills and creating opportunities for the future.
