Job summary

PayByPhone is seeking a Bid Coordinator in Hatfield, UK (Hybrid) to support the UK Commercial team through the full bid lifecycle. You will use AI and automation to speed up bid discovery, drafting and content management, ensuring compliant, timely submissions and high-quality proposals.

The role requires 3+ years in bid coordination, familiarity with AI tools, Salesforce and Excel/PowerPoint, and strong research abilities.

Qualifications

• 3+ years’ experience in bid coordination activities.
• Experience in fast-paced, rapidly changing environments.
• Able to gather information accurately and quickly from multiple sources.
• Experience using AI and automation tools to accelerate research, drafting and content management.
• Experience with Salesforce reports is an asset.
• Proficient in Excel and PowerPoint.
• Able to learn new software quickly.
• Strong web research and internal knowledge source skills.

Responsibilities

• Support the bid process from identification to submission and negotiations.
• Analyse bid requirements.
• Use AI-enabled tools to draft from approved content and quality-check outputs.
• Analyse RFP/ITT documents to extract requirements and deadlines.
• Maintain and improve the Responsive Answer Library.
• Collaborate with Marketing to curate bid materials.
• Manage content on Confluence related to the bid process.
• Participate in bid/no-bid reviews and win/loss analyses.
