Job summary

The Community of Our Lady of Walsingham (COLW) seeks a highly organised Administrator to provide administrative, financial and organisational support for its Dereham and Walsingham operations. The role requires discretion, trustworthiness and the ability to work with minimal supervision in line with Catholic Church ethos.

Part-time 15–18 hours per week, Monday to Wednesday with some flexibility for events. Salary £30,000–£35,000 FTE (£12,000–£14,000 pro rata for 15 hours).

  • Aligned with the ethos and values of the Catholic Church.

Responsibilities

  • Support the Community Leader with admin duties for two properties in Dereham and Walsingham and the expanding mission.
  • Demonstrate discretion and confidentiality in all data and data subjects.
  • Act as first point of contact for telephone callers and visitors with courtesy and professionalism.
  • Maintain bookkeeping systems and processes to ensure financial data is recorded and auditable.
  • Undertake monthly reconciliations to provide audit trails for banking, receipts and payments.
  • Assist in updating the Community website with news, events and content.
  • Maintain data records and implement new systems as needed.

The Community of Our Lady of Walsingham (COLW) was founded in 2004 and is a new form of religious life in the Catholic Church, an Ecclesial Family of Consecrated Life. We currently operate from our formation house in Dereham. With the recent purchase of a mission house in Walsingham and the increasing requests for spiritual accompaniment, retreats and missions in parishes and schools means we are seeking a highly organised and detail-oriented experienced Administrator for this young, dynamic and growing community.

PURPOSE OF ROLE

The post-holder will provide high-quality administrative, financial and organisational support to the Community of Our Lady of Walsingham, ensuring smooth day-to-day running of the Community’s office and supporting the delivery of its mission. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. DUTIES AND RESPONSIBILITIES
  • To support the Community Leader by undertaking all administrative duties related to the two properties in Dereham and Walsingham and the smooth operation of our expanding mission.
  • Ability to demonstrate and exercise discretion and confidentiality in terms of all data and data subjects.
  • To be a point of contact for all telephone callers and visitors, ensuring that they are welcomed with courtesy and respect and enquiries handled professionally.
  • Take responsibility for maintaining and updating book-keeping systems and processes to ensure all financial data is accurately recorded and available for audit.
  • Undertake monthly reconciliations to provide robust audit trails for banking, receipts and payments.
  • Assist in maintaining routine updates to the Community website, including news items, events and content.
  • Take responsibility for maintaining and updating all data records and new implementing systems when needed.
DISCLOSURE AND BARRING SERVICE (DBS)

TERMS OF APPOINTMENT

The successful candidate will be expected to take up the post as soon as is reasonably possible.

This post is office-based in Dereham, Norfolk.

Days and hours: (part-time 15 – 18 hrs hrs pw, increasing over time) The normal working pattern is Monday, Tuesday & Wednesday. Some flexibility may occasionally be required to support Community events and activities. As the role grows with the works of the Community over time, the hours will increase.

  • Salary: £30,000–£35,000 FTE (£12,000–£14,000 pro rata for 15 hours per week), depending on experience.
  • Salary will be paid monthly through PAYE.
  • The Community operates a workplace pension scheme in accordance with automatic enrolment legislation.
  • Annual leave is 22 days per annum plus public holidays, pro rata for part-time employees.
