VINCI Building UK is seeking an Administrator to provide efficient administrative support to the North West regional office in Widnes. You will coordinate travel and bookings, manage meeting room schedules, and handle DocuSign, invoices, and records while delivering high standards of customer service to staff and visitors.

Responsibilities

  • Coordinate travel, accommodation, and external meeting room bookings.
  • Manage meeting room schedules and resolve conflicts.
  • Maintain office stationery and kitchen supplies.
  • Ensure office areas are tidy and professional.
  • Oversee the DocuSign process for documents and routing.
  • Manage the internal Contract Document Register and support Commercial Teams.
  • Produce, update, and bind reports and documents.
  • Process and track invoices using finance systems.
  • Maintain electronic records and filing systems.
  • Support diary management and stakeholder communications.
  • Handle multiple priorities and ad hoc requests within deadlines.
  • Ensure confidential information is handled per policy.

Job description

As Administrator, you will provide efficient and professional administrative support to ensure the smooth day-to-day running of the VINCI Building North West regional office. The role requires a proactive, organised individual with strong communication skills who can manage multiple tasks, support colleagues, and deliver a high standard of customer service to visitors and staff.

Administrative Support
  • Coordinate travel, accommodation, and external meeting room bookings using a designated Travel Booking system.
  • Manage meeting room schedules, proactively identifying and resolving booking conflicts.
  • Maintain office stationery and kitchen supplies, monitoring stock levels and placing orders.
  • Ensure office and communal areas are organised, tidy, and maintained to a professional standard.
  • Manage the end-to-end DocuSign process for commercial and legal documentation, ensuring documents were correctly routed for approval and signature, compliance requirements are met, records are accurately maintained.
  • Oversee the management of our internal electronic Contract Document Register and act as a key point of contact for the Commercial Teams and Commercial Director, providing support and guidance on CDR and DocuSign processes.
  • Produce, update, format, and bind reports and business documents as required
  • Process and track invoices accurately using company finance systems
  • Maintain electronic records and filing systems.
  • Support diary management, meeting coordination, and communication with internal and external stakeholders.
  • Provide general administrative support, managing multiple priorities and responding to ad hoc requests within agreed deadlines.
  • Ensure confidential information is handled appropriately and in accordance with company policies.

This is a crucial office based role, therefore applicants must be able to commute to the office in Widnes on a daily basis.
