Job summary

Pinnacle Group are looking for an Administrator who will work closely with the Local Management team to provide administrative assistance and ensure good working practices under the respected working contract. Our Soft Facilities Management division delivers essential services to homes, schools, universities and public sector organisations – including housing providers and blue light authorities.

The ideal candidate will be highly organised and detail-oriented with excellent communication skills

Qualifications

  • Excellent organisational skills and ability to manage a varied workload.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office: Word, Excel, Outlook.
  • Experience managing shared mailboxes and document management systems.
  • Strong attention to detail and accuracy.

Responsibilities

  • Provide local administrative support to all managers.
  • Maintain central calendars; organise meetings and distribute minutes.
  • Process all incoming and outgoing correspondence.
  • General office e‑filing, photocopying, and HR paperwork handling.
  • Collate and input Health and Safety audits, risk assessments, monthly reports and incident reports.
  • Monitor information regarding procurement and supply chain.

Key Responsibilities
  • Provide local administrative support/assistance to all managers
  • Maintaining central calendars, organizing meetings, providing supporting documentation and if required taking and distributing minutes
  • To process all incoming and outgoing correspondence
  • General office e‑filing and photocopying; collect and provide information to the Human Resources team i.e. immigration audits, new employee paperwork
  • Collate and input Health and Safety information audits, risk assessments, monthly reports and accident/incident reports
  • Operate an efficient monitoring system on information regarding procurement / supply chain
Key Requirements
  • Excellent organizational skills, with the ability to manage a varied workload
  • Excellent communication skills, verbal, written
  • Proficient in Microsoft Office applications, in particular: Word, Excel and Outlook
  • Experience managing shared mailboxes and document management systems
  • Strong attention to detail and accuracy
