Job summary

IES Utilities Group Ltd is seeking a highly organised Plant Administrator to support plant asset management, inspections, and compliance. You will maintain asset records, coordinate maintenance, liaise with suppliers and operational teams, and provide administrative support to the Plant Department to ensure assets are compliant and available for operations.

  • Previous experience in an administrative role within Plant, Construction, Utilities, Engineering, Logistics, or a similar environment.
  • Strong organisational and administrative skills.
  • Excellent attention to detail and record-keeping ability.
  • Proficiency in Microsoft Office applications, particularly Excel.
  • Strong communication and interpersonal skills.
  • Ability to prioritise workloads and manage multiple tasks effectively.
  • Experience maintaining databases, asset registers, or management systems.

Role Summary

We are seeking a highly organised and detail-oriented Plant Administrator to support the efficient management of the company's plant assets and equipment.

The successful candidate will be responsible for maintaining accurate asset records, coordinating inspections and maintenance activities, supporting compliance requirements, liaising with suppliers and operational teams, and providing administrative support to the Plant Department. This role is essential in ensuring plant assets remain compliant, available, and effectively managed to support operational delivery.

Key Responsibilities will include but are not limited to:
Plant Administration
  • Maintain accurate records for all company-owned and hired plant assets.
  • Administer plant management systems and ensure all asset information is up to date.
  • Track plant allocation, movement, and utilisation across projects and operational sites.
  • Process plant hire requests, off-hire notifications, and associated documentation.
  • Maintain records of plant maintenance, repairs, inspections, and servicing activities.
  • Manage plant documentation, including manuals, certification, service records, and inspection reports.
  • Raise purchase orders and process invoices relating to plant activities.
Compliance Management
  • Monitor and maintain plant compliance schedules and inspection records.
  • Support compliance with LOLER, PUWER, and other relevant plant regulations where applicable.
  • Ensure plant certification, inspection reports, and maintenance records are accurately stored and readily available.
  • Assist with internal and external compliance audits.
  • Report upcoming compliance requirements and identify any overdue actions.
Reporting and Data Management
  • Produce regular reports on plant utilisation, maintenance activity, costs, and asset performance.
  • Maintain accurate data within plant management systems.
  • Monitor key plant-related KPIs and highlight trends or issues.
  • Provide plant performance information to management teams to support decision-making.
Supplier and Stakeholder Coordination
  • Liaise with plant suppliers, hire companies, service providers, and maintenance contractors.
  • Coordinate servicing, inspections, deliveries, collections, and repairs.
  • Act as a point of contact for operational teams regarding plant availability and administration queries.
  • Develop and maintain effective working relationships with internal and external stakeholders.
Continuous Improvement
  • Identify opportunities to improve plant administration processes and efficiencies.
  • Support the implementation of new plant management systems and technologies.
  • Contribute to the continuous improvement of plant asset management practices across the business.
Skills & Experience
Essential
  • Previous experience in an administrative role within Plant, Construction, Utilities, Engineering, Logistics, or a similar environment.
  • Strong organisational and administrative skills.

  • Proficiency in Microsoft Office applications, particularly Excel.

  • Experience working within a Plant Department or plant hire environment.
  • Knowledge of plant maintenance and inspection processes.
  • Understanding of LOLER, PUWER, and related compliance requirements.
  • Experience using plant management software or asset tracking systems.
  • Experience producing reports and analysing operational data.
