Job summary

NHS Professionals in Canterbury is seeking a proactive Administrator to support the Early Intervention in Psychosis Service. You will handle general admin tasks, diary management and front-line contact with service users and stakeholders.

This temporary role is 37.5 hours per week, based at the Eastern and Coastal Area Offices, Canterbury. Band 3 pay (£12.75/hour) with opportunities to develop administrative skills within the Trust.

  • Ability to manage diaries, typing, data entry.
  • Excellent communication skills.

Responsibilities

  • Provide flexible support to teams and handle front-line contact with clients and colleagues.
  • Type letters and manage diary for our Consultant Psychiatrists.
  • Data inputting, filing, ordering supplies, and reception duties including phone.
  • Prepare documents and correspondence from dictation or notes.
  • Arrange meetings, book rooms, and greet visitors.
  • Process confidential information and maintain safety/compliance.

Working Pattern: 37.5 hours per week, Mon - Fri, 9am - 5pm

Pay Banding: Band 3 - £12.75 per hour

Trust: Kent and Medway Mental Health NHS Trust

Job Summary and Responsibilities

As an Administrator you will provide a flexible resource to support teams in the provision of services to include organisation of work for self and may have front line contact with service users, carers, the general public or other external stakeholders, as well as internal colleagues. Administrators support one or more team(s). The focus of these posts may be on a variety of tasks including volume typing mainly from digital dictation, booking appointments, data inputting, copying, filing, ordering of supplies, reception duties, including answering the telephone. Scope will vary with each post depending on service needs. You will also contribute to service improvements and help us live our values every day.

Responsibilities include:
  • Distribution of communications to service users and carers including letters, leaflets, questionnaires and other correspondence.
  • Ensure standards are adhered to in terms of all communications and time scales.
  • Minuting professional's meetings and internal meetings.
  • Type letters and manage diary for our Consultant Psychiatrists.
  • Work from our Administration mailbox completing a variety of tasks as they are requested.
  • Be compassionate and empathetic to enable you to diffuse situations when presented with an anxious client or call for assistance as required.
  • Making calls as necessary e.g. to re-arrange appointments and apologising for changes initiated by the Trust where these are necessary.
  • Booking rooms using internal room booking system.
  • Daily opening of post and distribution.
  • Data entry e.g. inputting of information such as new referrals and updating of progress notes, results of tests or questionnaires.
  • Checks relevant systems, e.g. Rio for clinic appointment lists.
  • Photocopying, scanning, uploading information.
  • Preparation of variety of documents and correspondence from digital dictation or notes.
  • Printing information in spreadsheet or report format as required.
  • Process confidential information.
  • Laminating of posters or reports and binding as appropriate.
  • Booking of appointments, arranging meetings and events.
  • Your role may involve greeting service users, carers, relatives or visitors, alerting healthcare professional.
  • Ordering of stationery and other supplies.
  • Booking interpreters
  • Reporting health & safety hazards.
  • Minimise the Trust's environmental impact by recycling wherever possible, switching off lights, computer monitors and equipment when not in use. Minimising water usage and reporting faults promptly.
  • Complete required statutory and mandatory training.
