About the Role
We are looking for an experienced and proactive Administrative & Operations Manager to oversee and run our day-to-day administrative, finance & HR-related admin, and general office management across the group. This is a critical role for Moth: you’ll be the go-to person ensuring the business runs smoothly, efficiently, and in compliance, supporting both local and international teams.
You’ll work closely with executive leadership and interface with internal and external HR, finance, legal, and office management functions. You must be comfortable with high levels of autonomy, trust, and responsibility - this role is for someone who thrives on structure, clarity, and momentum.
Key Responsibilities
Operations & Office Management
•Own and manage all day-to-day office operations in London and coordinate support for satellite offices abroad.
•Support the executive team with administrative tasks, scheduling, and logistics.
•Lead procurement and service providers relationships, ensuring cost-effective and timely services across all office needs
•Handle all incoming and outgoing communications
•Prepare reports, presentations, and correspondence as needed.
•Maintain and improve digital filing systems, internal tools, and documentation flows (including company-wide CRM).
•Help setting-up and maintaining company wide and team specific workspaces and software
•Take charge of travel coordination, team events, and internal communications.
HR Administration & People Ops
•Manage all HR admin processes including onboarding/offboarding, contracts, equipment setup, employee records, payroll.
•Ensure compliance with employment regulations in all jurisdictions where we operate.
•Support hiring processes by coordinating interviews, candidate communication, and recruitment tracking.
•Help implement and maintain people-focused policies, benefits tracking, and engagement initiatives.
•Work closely with leadership to foster a cohesive, healthy, and high-performing workplace culture.
Finance & Admin Support
•Collaborate with our finance and accounting team to manage expenses, invoicing, and payments.
•Track budgets, recurring costs, and one-off project expenditures.
•Oversee expense systems (e.g., Remote) and ensure employee submissions are accurate and timely.
•Prepare vendor payment schedules and liaise with our outsourcing partners
•Maintain up-to-date financial documentation and support basic compliance workflows.
You’ll Thrive in This Role If You Have:
•5+ years experience in a senior administrative, office manager, operations, or EA/Chief-of-Staff-style role.
•Demonstrated experience running administrative processes in fast-paced, multi-disciplinary environments.
•Strong working knowledge of HR and finance administration.
•Impeccable organisational and prioritisation skills - you get things done
•Excellent communication and interpersonal skills across all levels.
•High digital fluency; confident working with tools like Google Workspace, Microsoft 365, Slack, Click Up, and finance/HR platforms.
•Absolute discretion when handling sensitive information.
•A self-starting, solutions-oriented mindset with the ability to set up new processes from scratch.
A degree in Business Administration, HR, or a related field is helpful but not required—we value experience and attitude over certificates.
