Job summary

Office Angels in London is seeking an experienced Administration Support Manager to lead the administration function and support senior stakeholders. This is a hands-on role with real responsibility for mentoring the team and driving process improvements.

You will oversee day-to-day activities, manage invoicing and financial controls, coordinate onboarding, prepare reports, and support audits and ISO requirements. Strong MS Office and proactive mindset are essential.

Qualifications

  • Proven experience in a senior administration, team administration, office management or administrative support role.
  • Degree level - 2:1 or above.
  • Experience managing, supervising or mentoring an administration team.
  • Excellent organisational skills and attention to detail.
  • Confident communicating with colleagues, senior stakeholders and external contacts.
  • Strong written and verbal communication skills.
  • Advanced Microsoft Office skills, particularly Excel, Word, PowerPoint and Outlook.
  • Experience with internal systems, databases and process documentation.
  • Good numerical and financial administration skills; experience with invoicing, suppliers or debt collection is desirable.

Responsibilities

  • Oversee the day-to-day administration function, ensuring the team operates efficiently and consistently.
  • Provide senior-level administrative support to the Finance & Administration team and wider senior stakeholders.
  • Manage, mentor and develop members of the administration team, providing guidance and training.
  • Review and improve administrative processes, identifying opportunities to streamline and automate procedures.
  • Act as a key point of contact for internal teams, suppliers and external stakeholders.
  • Prepare reports, management information, presentations, proposals and business documentation for senior stakeholders.
  • Oversee travel arrangements, accommodation, subscriptions and other company administration.
  • Maintain key company records, supplier logs and internal documentation.
  • Support internal audits, compliance processes and ISO requirements.
  • Assist with financial administration, including invoicing, supplier management, debt collection and financial controls.
  • Support financial audits, reporting and reconciliation of relevant administrative records.
  • Oversee annual leave, sickness absence and other employee records in line with company and statutory requirements.
  • Coordinate onboarding and induction for new starters.
  • Identify training requirements and coordinate training and development.
  • Take ownership of internal events, team initiatives and staff engagement activities.
  • Support the implementation of new systems and processes, acting as a key user and champion for administrative improvements.
  • Provide cover across the administration function when required.
  • Take ownership of ad-hoc projects and manage multiple priorities and deadlines effectively.

What We're Looking For

We're looking for an experienced, proactive professional who is confident taking ownership and supporting others. You will ideally have experience supervising or mentoring an administration team and be comfortable working across multiple areas of administration.

Essential Experience & Skills
  • Proven experience in a senior administration, team administration, office management or administrative support role.
  • Degree level - 2:1 or above.
  • Experience managing, supervising or mentoring an administration team.
  • Excellent organisational skills and attention to detail.
  • Confident communicating with colleagues, senior stakeholders and external contacts.
