Job summary

The David Ross Education Trust is seeking an Academy Administrator for Havelock Academy. The role supports SLT with clerical and secretarial tasks, handles daily staff cover rosta, and liaises with parents, contractors and Head Office.

You will contribute to a well-organised school environment. The post requires GCSE/NVQ2 or equivalent, excellent Microsoft Office skills, and experience in educational administration.

Qualifications

  • GCSE level/ NVQ level 2 or equivalent, including English and Maths
  • Experience working in an administration team and/or in an educational setting
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • ECDL/ formal administration/ project management qualifications would be desirable
  • Experience arranging diaries, meetings and answering telephones

Responsibilities

  • Coordinate daily staff cover rota to ensure classes are supervised during planned or unplanned teacher absence
  • Communicate with the principal, SLT, parents/carers, Head Office and third party suppliers/contractors
  • Provide administrative support to the Academy team and handle confidential issues professionally
  • Support the Principal and wider staff team as needed
  • Assist in coordinating events such as Opening Evenings, Parents Evenings and Music Concerts
  • Perform general admin duties: photocopying, scanning, filing and front-of-house reception
  • Coordinate confidential meetings as agreed with Principal/SLT
  • Communicate with Parents/Carers via letters, emails and Bromcom messages; liaise with SLT and Head Office
  • Liaise with Principal, SLT, staff and Head Office to resolve matters

Job description

We are now recruiting for an Academy Administrator, to be based at Havelock Academy.

About the role

This is a key role within the Academy to work alongside the Senior Administrator and/ or the Academy Operations Manager (AOM) to provide competent clerical, administrative and secretarial support to the senior leadership team (SLT) and wider team.

The post holder will be primarily responsible for orchestrating the daily staff cover rota to ensure all classes are supervised during planned and unplanned teacher absence, communicating with the principal, SLT, parents/ carers, DRET Head Office team and third party suppliers and contractors.

Provide administrative support to the Academy team, dealing with confidential and sensitive issues in a timely, professional and competent manner.

Support the Principal and support the wider staff team as appropriate

Support the Principal and SLT with coordinating events including, but not limited to, Opening Evenings, Parents Evenings and Music Concerts.

Undertake general administration duties including photocopying, scanning and filing and front of house reception presence.

Support with the coordination of often confidential meetings as agreed with the Principal and SLT.

Communicate with Parents and Carers verbally and via written letters, e-mails and ‘Bromcom’ messages. Liaise with the Principal, SLT, Staff, and Head Office teams to communicate and bring matters to resolution.

37 Hours per week, Term Time Only. Monday - Friday

NJC 3, FTE £24,796, £21,780 pro rata per annum (pay award pending)

Who we are looking for

Educated to GCSE level/ NVQ level 2 or equivalent, including English and Maths

Experience working in an administration team and/or in an educational setting

Be a skilled user of Microsoft Office, with the ability to produce, create and edit documents using word, excel, power-point and outlook

ECDL/ formal administration/ project management Qualifications would all be desirable

Experience arranging diaries. meetings and answering telephones
