University of Oxford’s Medical Sciences Teaching Centre is seeking an experienced senior academic administrator to lead admissions, teaching and examinations for Pre-clinical Medicine, Biomedical Sciences, and Years 1–2 of the Graduate Entry Medicine programme. You will manage a team of seven academic administrators and act as the main liaison for policy and quality assurance within SMBMS.

Qualifications

  • Direct experience of academic administrative work, preferably including student administration.
  • Excellent organisational and analytical skills with high accuracy.
  • Ability to provide strategic advice on course and examination matters.

Responsibilities

  • Lead the administration of admissions, teaching and examinations for Pre-clinical Medicine, Biomedical Sciences and Years 1–2 of Graduate Entry Medicine.
  • Manage a team of seven academic administrators (Grades 4–8) in a hands-on leadership role.
  • Serve three programme-level committees and advise on policy and procedure.
  • Draft procedures and changes to regulations; troubleshoot and solve problems.
  • Monitor medical students causing concern and coordinate appropriate actions with committees.
  • Collaborate with Directors and others to ensure high-quality service and continuous improvement.
  • Work on educational projects related to the programmes and ensure 75% on-site presence.

Medical Sciences Teaching Centre, South Parks Road, Oxford, OX1 3PL

We are seeking an experienced and highly capable person to fill a key academic administration leadership position within the School of Medicine and Biomedical Sciences (SMBMS).

The mission of the SMBMS is to lead and coordinate the delivery of four interdepartmental undergraduate programmes: Biomedical Sciences, Clinical Medicine, Graduate Entry Medicine and Pre-clinical Medicine. There are over 1000 students on course at any one time. As the responsibility for teaching and examining is shared across all departments in the Medical Sciences Division, the administration of the programmes is considerably more complex than for most other undergraduate programmes in the University.

The postholder will manage the administration of admissions, teaching, examinations and related activities for Pre-clinical Medicine, Biomedical Sciences and Years 1 & 2 of the Graduate Entry Medicine programme. They will lead a team of seven academic administrators (at Grades 4-8), but this is a ‘hands on’ role and they will also have areas of academic administration which are their own responsibility.

The role includes servicing three programme-level committees, advising on University academic policy and procedure, drafting new procedures and changes to regulations, troubleshooting and problem-solving, and undertaking work on educational projects relating to the programmes of study. The postholder will act as the main contact for the Division’s education team on policy and quality assurance matters. They will be expected to instill a culture of providing a high standard of service to students and staff, and to promote a culture of continuous improvement.

The postholder will also monitor medical students who are causing concern on grounds of health and/or unprofessional behaviour, and work with the Low Level Concerns Committee to take action where appropriate, in accordance with the School’s procedures for medical students causing concern.

The postholder will work closely with the Director of Pre-clinical Studies / Course Director for Biomedical Sciences and the Director of Graduate-entry Medicine, who hold overall academic responsibility for the programmes, and who are assisted by a number of other members of academic staff including Deputy and Associate Course Directors.

You should have experience of providing successful administrative management in Higher Education or a closely related area. You should have recent and direct experience of academic administrative work in Higher Education, preferably including experience of student administration. You must have excellent organisational and analytical skills and the ability to manage a broad workload in an efficient manner. You must be able to work systematically and to a high level of accuracy, with excellent attention to detail. You must also have the ability to provide strategic advice on course and examination matters, and to understand and interpret complex regulations and conventions.

The postholder will be based at the Medical Sciences Teaching Centre, South Parks Road. The post is offered at 0.9 – 1.0 FTE, to be agreed with the successful candidate. They will be expected to spend at least 75% of their working hours on site.
