The Wholesale Sales Assistant is responsible for effectively assisting the Sales Team in the execution of the order fulfillment process and workflow. Key responsibilities include managing orders from entry into the system to processing, partnering with the Operations & Logistics team to coordinate shipments, and working with the Finance team to ensure proper invoicing and processing of incoming payments, defining, streamlining, and structuring the processes of the international sales department, and collating analytics and insights aimed at optimizing the team's business development activities.
Areas of Responsibility:
- Entering quotes, orders, and new accounts in the company system; maintaining them up-to-date based on stock fluctuations and clients' requests.
- Working with the back-office system to manage wholesale orders from quotation to processing, handing over the last part to the Logistics team.
- Functioning as liaison between the sales reps and internal and external stakeholders to ensure timely flow of orders.
- Coordinating logistical or administrative needs in collaboration with Finance and Operations teams (returns, swaps, credit notes, and others).
- Providing excellent after-sales service to B2B customers.
- Contributing to the automation of the workflow and submitting ideas for optimization.
- Creating and editing customer profiles according to sales representatives' instructions.
Commercial Support:
- Responding to client requests such as inquiries for imagery or information (completing spreadsheets and pre-filling vendor application documents).
- Collating information to help the team keep track of sales goals and performance: back-orders list, country and city analysis, sales per door, etc.
- Maintaining the CRM system and International Sales Department Guide updated at all times (non-logistical processes only).
- Updating tools used by the Sales team on a regular basis (order forms, sales folders, price index sheets, etc.).
Profile:
- University or business school degree.
- 1-2 years of previous experience in an operational, administrative, or brand support function, ideally within a commercial department.
- Proficiency in English.
- Good level in Microsoft Excel.
- Self-motivated with a hands-on and proactive attitude, ability to take initiative.
- Excellent communication skills, both verbal and written, with a wide range of stakeholders.
- Ability to adapt quickly to a dynamic environment.
- Interest in culture, lifestyle, design, fashion, and luxury, and awareness of trends within these fields.
