Job Description

Position: Transportation Coordinator

Summary of Position: The Transportation Coordinator is responsible for ensuring cost-effective, timely, and seamless guest transfers, enhancing overall guest satisfaction and operational efficiency.

Conditions of Work: The role is based in a normal administrative office within the resort, requiring close coordination with airport, operations, and reservations teams.

Role Overview: The Coordinator manages all guest arrival and departure transfers via seaplane and domestic flights. The role involves maintaining clear communication with guests, internal departments, and third-party transport providers to ensure a smooth guest experience from arrival to departure. It also includes efforts to optimize transfer costs while maintaining high service standards.

Responsibilities:

  • Coordinate and manage all guest transfers via seaplane and domestic flights.
  • Monitor flight schedules and adjust transfer plans for delays, cancellations, or weather disruptions.
  • Ensure transfer details are accurate and updated in the system (PMS, logs, etc.).
  • Liaise with service providers, airport teams, reservations, and front office to ensure efficient guest transfer.
  • Maintain and submit utilization reports for transfers.
  • Ensure cost-efficient scheduling to maximize seat occupancy and minimize empty-leg flights.
  • Analyze transfer trends and costs to identify efficiency improvements.
  • Achieve goals in LQA Hotel Mystery Shopping and LISTEN calls.
  • Handle telephone inquiries politely and efficiently, meeting callers' needs with a client-oriented approach.
  • Review arrival reports 48 hours and 7 days prior to guest arrival.
  • Handle complaints promptly and professionally, under supervisor guidance.
  • Provide timely pre-arrival and departure transfer information to guests.
  • Manage last-minute transfer issues calmly, escalating when necessary.
  • Offer assistance or alternatives for transfer delays.
  • Coordinate closely with reservations, front office, concierge, and airport reps.
  • Maintain proactive information flow to reduce guest wait times and improve satisfaction.

Qualifications:

  • 2-3 years of experience in a luxury hotel environment.
  • Experience in a similar role at a luxury island resort.
  • Ability to work in remote or island locations.
  • Detail-oriented and task-motivated.
  • Excellent telephone presentation, sales skills, and upselling abilities are a plus.
  • Experience with Opera Cloud, PMS, Amadeus, or other reservation software.
  • Strong communication skills.
  • Multilingual: Dhivehi and English speakers are essential.
