THE NUCLEAR ENERGY AGENCY

The Nuclear Energy Agency (NEA) is an intergovernmental agency which operates under the framework of the Organisation for Economic Co-operation and Development (OECD). It facilitates co-operation among countries with advanced nuclear technology infrastructures to seek excellence in nuclear safety, technology, science, related environmental and economic matters and law.

THE POSITION

The NEA is looking for a dynamic and experienced Office Manager to support the Director-General and the Office of the Director-General (ODG) in implementing the Agency’s Programme of Work. The successful candidate will oversee the overall conduct of work of the Office of the Director-General including management of the agenda of the Director-General, coordinating inputs from across units and divisions at the NEA and assuring the effective planning for and implementation of missions involving the Director-General in coordination with other elements of the Agency.

Main Responsibilities

  1. Strategic support to the Director-General
    • Ensure timely responses to requests from the Director-General and other stakeholders; produce written inputs as necessary.
    • Contribute to the overall planning and organisation of meetings and missions relating to the activities of the Director-General's Office.
    • Coordinate the Director-General’s office to ensure its smooth functioning.
    • Evaluate and assemble background documentation for daily meetings and decisions.
    • Assist the Director-General in all communications as requested.
    • Assist in sensitive, confidential matters related to personnel.
    • Keep abreast of ongoing activities within the NEA and ensure the Director-General is informed.
    • Follow up on urgent and important matters in the absence of the Director-General.
  2. Office Management and Coordination
    • Matrix management of all NEA assistants and secretaries.
    • Act as the key point of contact for Heads of Division in their requests to the Director-General.
    • Coordinate across the NEA to plan and organize staff meetings and internal events.
    • Responsible for disseminating internal communications from the Director-General or his office.
    • Make proposals to workflow improvements on administrative processes.
    • Provide regular reporting to the Director-General on the meeting activities of NEA divisions.
    • Direct management of staff working in the Office of the Director-General.
  3. Other duties
    • Contribute to the planning and preparation of missions of the Director-General.
    • Responsible for supporting the NEA strategic mission planning process.
    • Ensure the NEA has adequate processes in place to maintain business continuity.

Ideal Candidate Profile

  1. University degree or equivalent experience in political science, management or administration or related fields.
  2. A minimum of three years’ relevant experience in a national or international administration.
  3. Good knowledge of coordinating and managing activities and processes.
  4. Good general knowledge of the structure and activities of the Organisation.
  5. Experience of leading without direct influence and managing junior staff.

Communication and Languages

  1. Fluency in one of the two OECD official languages (English and French) and knowledge of, or a willingness to learn, the other.

Core Competencies

  1. OECD staff are expected to demonstrate behaviours aligned to six core competencies which will be assessed as part of the hiring processes.

Depending on level of experience, monthly salary starts at 5786EUR, plus allowances based on eligibility, exempt of French income tax.

Selection Process

For retained candidates, written tests/video-recorded interviews are foreseen end-April 2025 and panel interviews are planned for mid-May 2025.
