Overview of the role

Ulu Lab is looking for a motivated and enthusiastic bookkeeper / operations staff who will play an important role in managing key financial and inventory-related tasks. The candidate will be responsible for generating customer invoices and account receivables, managing inventory and expense tracking and accounts payable. The ideal candidate will possess excellent communication skills, problem-solving abilities, attention to detail and a dedication to delivering a positive customer experience.

Key responsibilities

The candidate should have a holistic view of the entire business operation and processes. This includes a comprehensive understanding of:

Invoicing and account receivables

Inventory management

Purchase orders

Expense tracking

Invoicing and account receivables:

- Work closely with sales team to process sales orders

- Generate invoices for B2B and D2C customers in a timely manner

- Track and follow up on outstanding payments

- Prepare monthly sales report including account receivables tracking

Inventory management:

- Track all inventory movements – keep daily records of all transactions coming in and out of the warehouse

- Picking, packing, and preparing orders for shipment, ensuring accuracy and efficiency

- Manage warehouse area - kept shelves clean and tidy, make sure that all inventory items are properly stored and labelled

- Monthly Inventory reconciliation – Conduct frequent inventory count to reconcile with inventory ledger

Purchase orders

- Issue Purchase orders to suppliers and liaise to make sure goods are delivered in a timely matter

- Checking deliveries against purchase orders, ensuring accuracy, and properly storing incoming materials

Expense tracking:

- Keep record of all incurred expenses

- Make sure that all expenses are paid

- Keep track of account payables

- Prepare monthly expense report

Other matters:

- Keep track of Company legal documents

- Keep track of third party agreements

- Support the business owner or finance team with ad hoc administrative or financial tasks

- Maintain digital and physical financial records in an organized system

Candidate requirement:

- Proven experience in bookkeeping, accounting, or a related role

- Strong proficiency in accounting software such as Odoo or similar.

- Capacity to summaries key information in a comprehensible matter

- Solid understanding of Microsoft word, excel and Powerpoint

- Extremely detailed and able to prioritize tasks

- Minimum 5 years of working experience
