Registrar's Office Administrative Assistant - Client Facing Support
DEPARTMENT: Registrars Office
SUPERVISOR: Deputy Registrar or any other supervisor as designated by the President
DUTIES:
- Front Desk Support and Mailbox Management:
- Assist students, staff, faculty, and visitors at the front desk, handle calls, direct traffic for Academic Success Center offices, and perform reception duties such as distributing ID cards, answering questions, logging forms, and student check-in.
- Coordinate printing, reprint requests, and distribution of student and Beaux Arts cards.
- Process student service requests received electronically or in person, serve as a subject matter expert, and develop action plans for inquiries.
- Manage the inbox, ensuring timely responses to emails.
- Handle incoming and outgoing mail, including registered mail.
Office Process Assistance:- Issue transcripts, track statistics via Parchment, and coordinate batch transcript fulfillment with partner universities.
- Issue batch certificates each semester (Enrollment, NAVIGO, etc.).
- Verify and process Net ID activations and CVEC attestations.
- Verify holds, process course withdrawals, grade changes, CR/NC grading, and Incomplete grades.
- Maintain webforms for professor absences and course cancellations, and manage related information.
- Assist with final exam data entry and cleanup under supervision.
- Participate in check-in and new student registration processes.
- Process placement results and assist with graduation ceremony preparations.
- Assist in transfer credit evaluations and support registrar staff with scheduling, record management, and other tasks.
- Support during peak periods, including correspondence, data entry, and document preparation.
- Execute office filing projects and update online forms and documents.
- Manage office supplies and duplication orders.
- Perform other duties as assigned by the supervisor or department needs.
QUALIFICATIONS:
- Knowledge of the American higher education system or willingness to learn.
- Fluent in English (spoken and written); French fluency preferred.
- BTS degree (Associates) or equivalent.
- Highly organized and detail-oriented.
- Excellent Microsoft Excel skills.
- Ability to work under pressure.
- Effective communication with internal and external clients and team members.
