As a Project Manager in the Special Projects team, you will lead the planning, execution, and successful delivery of high-visibility exhibition and event projects. This includes bespoke sponsor activations, VIP lounges, and partner areas within international fair environments. You are the central figure ensuring that design vision, project milestones, stakeholder alignment, and customer satisfaction are seamlessly realized, on time, within budget, and to the highest quality standards.
Your Responsibilities
Project Leadership & Lifecycle Management
- Lead full lifecycle of customized and high-visibility exhibition stand projects
- Act as the main point of contact for international clients and partners throughout the entire project
- Plan, coordinate, and execute design development, feasibility analysis, material choices, and sustainability integration
- Prepare and manage detailed budgets, timelines, and resource plans in alignment with overarching fair production milestones
- Supervise on-site execution including build-up, quality assurance, and handover to clients
- Risk assessment and mitigation, proactively identifying potential challenges and implementing corrective measures in collaboration with cross-functional teams
Client, Partner & Vendor Management
- Manage and develop client relationships, ensuring clear communication and responsiveness to evolving needs
- Negotiate and coordinate with suppliers, partners, and service providers, identifying opportunities for repeat collaboration or upselling additional services where appropriate
- Lead internal and external stakeholder meetings to align on deliverables and milestones
Operational Oversight
- Ensure documentation and reporting accuracy via ERP tools like IFS, Salesforce, etc.
- Conduct post-project evaluations, cost reconciliation, and internal/client debriefs
- Oversee project-related logistics, shipping, and packaging including post-fair wrap-up (such as reconciling deliveries or condition reports, final budgeting and invoicing)
- Ensure compliance with branding, legal, safety, and sustainability standards
Team Collaboration & Mentorship
- Guide and motivate cross-functional project teams, fostering accountability and high performance
- Actively contribute to onboarding and knowledge-sharing across the Special Projects and Fair Production teams
Travel
- National and international travel up to 6 weeks per year, including participation at events in Europe, the USA, and Asia
- Occasional weekend work based on event timelines
Your Profile
- Degree in Project Management, Architecture, Logistics, Exhibition/Event Production, or related technical/business field
- 5–7+ years of relevant work experience in exhibitions, live events, logistics or temporary infrastructure.
- Experience managing international B2B projects and external vendors.
- Strong project planning and organizational skills
- Excellent communication, negotiation, and presentation capabilities
- Ability to manage technical drawings, read construction plans (AutoCAD)
- Hands-on problem solver with strong on-site crisis management abilities
- High level of integrity, responsibility, and self-reflection
- Highly structured, efficient, and resilient in deadline-driven environments
- Fluent in English, German and French
