You’ve probably watched a football game at some point in your life. Well, if it was a FIFA World Cup TM match, it was likely filmed and produced by the HBS team. HBS is involved in the production of many events across the globe, most notably the FIFA World Cup TM 2026, Rugby World Cup 2027 and the FIFA Women’s World Cup 2027 TM.

It is essential to have strong organisational and multi-tasking abilities with experience in coordinating complex projects.

Purpose

At HBS, our Project Management Office (PMO) is the central nervous system behind the flawless execution of major sporting events seen by millions worldwide. We’re currently gearing up for the Rugby Women’s World Cup 2025 in England and Rugby World Cup 2027 in Australia, and we need a sharp Project Coordinator to join our team. You’ll be the crucial link ensuring all departments work in harmony, maintaining the high standards our demanding clients expect. Working directly with Project Managers and Directors, you’ll help orchestrate the entire broadcast production from planning to execution. This isn’t just any coordination role – you’ll be part of the team that brings rugby’s biggest moments to screens across the globe!

Main Activities / Responsibilities (Primary Role of the Job)

Project Monitoring & HB Planning:

  • Assist in developing and maintaining project Host Broadcast planning.
  • Implement and coordinate Project Management methodologies, processes and tools across all departments with PMO support.
  • Provide expert guidance to departments on processes and tools usage.
  • Schedule and coordinate Project Reviews following HBS Project Management cycle.
  • Support Project Managers in tracking key deliverables and milestones.

Client Relationship Support:

  • Coordinate and prepare professional client documentation to support the Project Manager.
  • Facilitate smooth information exchange between clients and HBS departments.
  • Help maintain our reputation for exceptional client service.
  • Maintain up-to-date project management tools and documentation.
  • Contribute valuable insights to Multi-Project Portfolio Reviews.
  • Flag potential issues before they become problems.

Budget Management:

  • Support Project Manager with internal budget tracking and reporting.
  • Set up budget templates in coordination with finance and all departments.
  • Schedule and coordinate comprehensive budget reviews.
  • Design and implement efficient communication channels using available tools.
  • Maintain crystal-clear communication to keep all stakeholders informed.
  • Facilitate cross-departmental collaboration within HBS.
  • Maintain comprehensive project documentation from design to post-event.
  • Set up and organise relevant project workspaces using HBS Project Management procedures.
  • Ensure the “project bible” is always current and accessible.

You will thrive in this role if you have:

  • Exceptional organisational skills with ability to prioritise effectively.
  • Strong communication abilities across all levels of the organisation.
  • Proficiency with MS Office Pack SharePoint, Word, PowerPoint, Excel.
  • Foundational knowledge of Project Management methodologies with eagerness to develop.
  • Experience in budget coordination and management.
  • Analytical mindset with ability to anticipate issues and provide solutions.
  • Willingness to travel internationally for extended periods when required.
  • Talent for collaborative work and creating efficient operational processes.
  • Ability to identify potential friction points before they emerge.
