SR Investment Partners is looking for an experienced Personal Assistant / Operational Manager to join their team. We are a start-up business in Financial Services and politics; this person must be able to hit the ground running. This person must be able to speak French and English.
They are looking for someone who has previous experience working in a fast-paced role in financial services / politics and works to help the CEOs by being one step ahead. This role requires someone confident, reliable, and not afraid to express their opinions to senior leadership if they have information that will help improve processes and procedures. What also is required is office management i.e. reports, compliance, any other technical initiative, and marketing. This is for someone who can work with a startup mentality and be the face of our firm. This person will also be part of negotiation with other external partners and create ideas and accountancy.
The ideal candidate will be responsible for a range of activities that will assist this organization's leadership. In this position, you should feel comfortable coordinating calendar appointments, managing communications, and planning events, as necessary.
Responsibilities
- Coordinate and schedule calendar appointments
- Manage all incoming and outgoing communications
- Must be able to understand French law and culture
- Must have experience in technical aspects of different databases, CRMs, Notion, Salesforce, accountancy
- Schedule travel and plan events
- Extensive diary management and Microsoft suite
- Work with PR and external partners and marketing
- Develop strong working relationships with key internal and external stakeholders
- Event Management for Board dinners, external lunches, away days, and regular in-house meetings
- Administration of expenses, to ensure all expenditures were authorized appropriately
- Strong time management skills to maximize the use of the CEO’s time effectively with Governance to ensure all Board and Committee dates were planned in advance
- Liaison with marketing and governmental bodies and represent acting as the first point of contact for the CEOs including greeting VIP guests
- This person must be able to communicate in French and write in high-level French and English; other languages will be a bonus
- Managing the CEO diaries and calendars
- Reviewing legal contracts
- Liaison with international and external clients accounts due diligence
- Understanding of French regulations
- Coordinating numerous high-profile meetings
- Managing all travel arrangements
- Dealing with external legal information/documentation that will support the business
- Weekly planning look through the database and company CRM system and update research
- Setting up conferences and being client-facing
- Organizing flights and hotels and any travel personal matters
- Producing presentation materials and agendas
- Research and analysis of overall office management
- Be an expert on the firm internal CRM
