Hexa is seeking an Office & Event Manager to oversee our Paris-based offices. You will manage vendors, budgets, and space bookings, while ensuring a welcoming, productive environment for teams and subtenants.

  • Experience in hospitality, operations, or venues is a plus.

Responsabilités

  • Run the building: own vendor relationships, negotiate terms, and hold vendors to word.
  • Own the venue budget end to end, including trade-offs.
  • Manage space, bookings, and coordination for multiple teams and events.
  • Troubleshoot building issues (leaks, AC, etc.) and ensure smooth events.
  • Keep the podcast studio active: bookings, setup, and gear checks.
  • Animate the workplace: welcome teams, onboard newcomers, and foster connections.
  • Produce events: breakfasts, masterclasses, demos, dinners, and offsites.
  • Look after core team needs: office essentials and HR-related people experience support.

Context

Hexa is looking for its new Office & Event Manager, for our offices at 12 rue Martel, Paris 10e. Our current office manager is moving on after some great years here. The place is La Cristallerie: 800 m² under a glass roof, twelve meeting rooms, an atrium that seats 80, a professional kitchen and a three-camera podcast studio. Around 150 people work here every day, between our core team, the 12 companies we build each year, the 60 in our portfolio and our subtenants.

Why the role exists

No two weeks in this building look alike. A company arrives as a team of two and leaves as fifteen. A founder flies in from Berlin for 48 hours and needs a desk, a room and a coffee that does not taste like an airport. Event for 100 on Tuesday, podcast shoot Wednesday, masterclass Thursday morning with the atrium reset by 9am. We are looking for the person who holds all of that together: the walls and the vendors, and the atmosphere too. Someone who knows the first name of everyone who walks through the door, who knows which team arrived on Monday and still needs introducing, who notices the startup keeping to itself in the corner and goes to get them.

The team

You would report to Camille, VP People & Community. And work in a team of six: Laure on Talent Acquisition, Juliette on HR Ops, Paul as Talent Engineer and Faustine as Head of Community. A small team, a wide scope, and people who genuinely enjoy working together.

Missions
Run the building:
  • Own the vendor relationships (cleaning, maintenance, security, caterers, suppliers): choose them, negotiate them, hold them to their word.
  • Own the venue budget end to end, trade-offs included.
  • Manage the space itself: floor plan, teams moving in and out, room bookings, and the diplomacy of four people wanting the atrium on the same Thursday.
  • Handle whatever the building throws at you, from the leak to the AC giving up on conference day, through to resolution.
  • Keep the podcast studio alive: bookings, setup, guest welcome, gear in working order.
Animate the workplace:
  • Be the face of the place, the person people come to for everything and the one who already anticipated half of it.
  • Onboard incoming teams: the tour, the house rules, introductions to their new neighbours, the small fixes of week one.
  • Engineer the encounters, like a lunch that seats two founders together because you noticed they were solving the same problem.
  • Read the temperature of the building and flag what is wrong before it reaches us on its own.
Produce the events:
  • Breakfasts, masterclasses, demo days, dinners, parties, offsites, farewells, birthdays. The build-up (budget, vendors, logistics, run of show) and the day itself (setup, coordination, being in the room, breakdown).
  • Host our startups' and subtenants' own events too, and make sure they leave wanting the date back next quarter.
Look after the core team:
  • The office management essentials for 40 people: orders, mail, welcome packs, equipment, the small daily emergencies.
  • Plus support to the HR team on people experience for Hexa employees: offsites, team retreats, demo times.
Who we are looking for

You have run a venue, with clients inside it and vendors around it. Probably from hospitality (operations manager, duty manager, head concierge, meetings & events manager), from events (venue manager, production coordinator, stage or technical manager), or from managed offices, coworking, campuses and incubators. You can handle a budget and negotiate without turning it into a standoff. The extra mile is a reflex. You go and buy the flowers yourself because the florist sent something sad, and you stay twenty minutes longer because the evening is going well. You like people, and it shows without you having to work at it. The unexpected energizes you rather than tightening you up. A leak never gives notice, and neither does a founder. Working French and English. The building is bilingual.

One thing we would rather tell you upfront

This is a job you do on your feet, in the building, with the people in it. It is hands-on rather than strategic, it does not involve running cross-functional projects, and it will not evolve into HR process design. If your ambition is to move into Ops, People or a Chief of Staff track, we would rather be honest now and let you find a better fit elsewhere.
