About AvePoint:

As an Office Assistant your job is to provide administrative and operational support locally for our bustling Paris office. You will work alongside our EMEA operations and people team to ensure alignment and efficiency of our operations across our regional offices. You will also collaborate with many other cross-functional teams daily – so if you’re a strong communicator, we want to hear from you!

Key responsibilities:

  • Serving as a go-to resource for all employees within your region
  • Ordering essential office supplies and maintaining the office space
  • Acting as a liaison between AvePoint and our vendors, suppliers, and building management
  • Providing support to the HR team in rolling out programs and assisting with their continued maintenance
  • Tracking and analysing office expenses, as well as managing business expense reporting
  • Managing executive travel while serving as a regional travel manager for incoming interviewees/trainees
  • Handling sensitive documents and records with a high level of confidentiality
  • Overseeing cultural and teambuilding events to maintain a happy and professional workplace
  • Assisting in ad-hoc administrative tasks, as assigned by management
  • Fluent in English and French, English being the corporate language and required for both written and spoken internal communication.

As an Office Assistant, you have strong sense of customer service and excellent communication skills. You are also a team player who thrives on working collaboratively with both internal and external teams.

The ideal candidate has:

  • At least 1 years of similar administrative experience (candidates with a receptionist or secretarial background are welcome to apply)
  • A positive and professional attitude
  • Proficiency with Microsoft Office and related technologies
  • Excellent command of written and spoken French and English
  • Strong initiative and the ability to work independently
  • High-level of resourcefulness, confidence, and problem-solving skills
  • Organized and meticulous, with proven ability to handle multiple tasks at a time
