Overview

The Executive Directorate (EXD)

The Executive Directorate (EXD) is the steward of OECD resources, on behalf of the Secretary-General. Our focus is on people and their wellbeing; the effective and efficient management of the budget; the safety and security of staff, Delegations, visitors, and OECD data; maintaining and sustaining physical and digital infrastructure; and enabling the OECD’s convening power through conferences, meetings and events, whether virtual, physical or hybrid. We provide corporate services, functions and management support to staff and Members, and integrated, strategic and expert advice on corporate policies and management issues. We also provide compliance and risk management functions. Our environment is fast-paced and focused on delivering management excellence across all functions.

Conference, Security and Infrastructure Service (EXD/CSI)

Within the OECD’s Executive Directorate (EXD), the Conference, Security and Infrastructure Service (EXD/CSI) facilitates conferences that bring together delegates from OECD Member countries, key partners and other stakeholders. It covers language services (interpretation and translation), safety and fire security for OECD staff, delegates and visitors, and the management and operation of OECD buildings in Paris and OECD Centres abroad.

The Position

Within the Conferences and Services Division (CSI/CSD) the Missions and Travel Services Officer will provide tailored support to different OECD Directorates in applying the Organisation’s travel policy. They will report to the Head of the Contracted Services Unit in the Conferences and Services Division (CSI/CSD).

Main Responsibilities

Organisation of official OECD business trips

  • Advise and support Directorates in the organisation of missions/official travel.
  • Provide user support and training on the online booking tool and share best practices.

General management of all contractors and contracts within the scope of official OECD missions/official travel

  • Participate in the development of terms of reference for competitive bids by external providers (airlines, hotels, travel agencies, etc.) and prepare contracts after negotiations.
  • Engage with providers, including the travel agency and the online booking provider, to resolve operational issues and achieve optimal performance for the Organisation. Prepare meeting summaries.
  • Draft and analyse quality surveys sent to OECD staff to produce summary reports with recommendations for improvement.

Global analysis of missions/official travel at the OECD

  • Regular summary reports and detailed analyses of missions/official travel at the OECD.
  • Use the analyses to develop recommendations to improve the travel service and define quality indicators to track and measure proposed improvements.

Other Responsibilities

  • Update internal guidance documents and information on the mission/official travel section of the intranet.
  • Carry out other related duties as required by the mission/official travel management team.
Ideal candidate profile

Academic Background

  • At least two years of higher education, with a diploma in the field of travel.

Professional Background

  • More than five years of proven experience in organising business trips, in particular by air travel, preferably in an international environment.
  • Proven experience in organisation and analysis, with the ability to structure tasks effectively and manage priorities.
  • Ability to establish and maintain excellent working relations with contacts at all levels of management, as well as in cross-functional teams.
  • Significant experience in teamwork in a collaborative environment.
  • Strong sense of client and user care, demonstrating tact, diplomacy and discretion in all interactions.
  • Excellent oral and written communication skills.

Tools

  • Advanced knowledge of SAP Concur’s Travel module and GDS. Good knowledge of SAP Concur’s Request and Expense Claim modules would be an advantage.
  • Proficiency in desktop and reporting tools.

Languages
  • Fluency in one of the two OECD official languages (English and French) and knowledge of, or willingness to learn, the other. Excellent drafting skills in one of the two official languages and preferably both.

  • This vacancy will be filled as soon as possible, and applications should reach us no later than midnight, 22 October 2025.
Contract duration
  • Fixed-term appointment of 24 months, with the possibility of renewal for up to 36 months.
