Administrative Assistant

Job Description:

As part of a dynamic team, the successful candidate will demonstrate an ability to work independently in delivering a variety of administration services for the MACOM European Semiconductor Centre (MESC) site. The position reports to the HR Director and is responsible for planning, coordinating, and delivering administration as well as supporting projects and process improvements.

Specific Duties and Responsibilities include:
  1. Responsible for administering a variety of human resources programs and policies, including functional operational support, recruitment support, onboarding, and ad-hoc projects.
  2. Support the time and attendance system and generate monthly and quarterly accrual reports.
  3. Work closely with the HR Team to ensure consistent support of the business and participate in planning for and implementation of HR programs and systems.
  4. Address ad-hoc employee queries relating to annual programs and general HR policies/procedures.
  5. Book external accommodation and meeting rooms (if required).
  6. Build relationships with external vendors such as hotels for the organization of accommodation, conference bookings, meetings, etc.
  7. Arrange transportation for visitors (from and to airport/hotel/office).
  8. Arrange refreshments for meetings.
  9. Facilitate email communications of internal events, communication meetings, etc.
  10. Assist in organizing workplace events.
  11. Organize internal communication events such as CEO communications, site meetings, and employee all-hands meetings.
  12. Responsible for ordering stationery supplies and employee business cards.
  13. Provide routine and ad-hoc administration support as required.

Qualifications:
  1. Minimum of 3 – 5 years of administrator experience.
  2. Demonstrated competency with executive assistant skills.
  3. Knowledge of company logistics, policies, ethics, processes, etc.
  4. Demonstrated ability to collaborate with all types of groups and levels of individuals.
  5. Demonstrated ability to interface with senior leadership and external visitors, including senior customers.
  6. Must have MS Office competency with Excel, Word, Access, PowerPoint, Outlook, etc.
