Position Overview
We are seeking an experienced Information Governance Specialist to lead and advise on enterprise-wide practices in information strategy, governance, document and records management, classification schemes, and information lifecycle controls. The role supports the secure, compliant, and efficient handling of informationfrom creation and use through classification, retention, declassification, and disposal.
Working across departments, youll ensure alignment with legal, regulatory, and policy requirements while enabling digital transformation, collaboration, and risk reduction.
Key Responsibilities
Information Governance & Strategy
- Develop and implement information governance frameworks, policies, and procedures across the organization
- Lead strategy for secure, efficient, and compliant document and records management practices
- Provide oversight of information architecture, taxonomy, and metadata schemes to support discoverability, security, and accountability
- Define standards for structured and unstructured data governance, including emails, documents, reports, and multimedia assets
Security Classification & Declassification- Design and maintain information classification and labelling models aligned with organizational risk, confidentiality, and legal standards
- Advise stakeholders on classification levels, handling rules, and access controls (e.g., public, internal, confidential, restricted)
- Develop and manage declassification workflows, ensuring secure and timely changes in information sensitivity levels
Retention & Disposal Management- Define and enforce records retention schedules based on regulatory, operational, and legal obligations
- Establish controlled disposal and destruction procedures, including audit trails and compliance validation
- Work with IT and legal teams to automate lifecycle controls and monitor policy enforcement
Compliance & Collaboration- Ensure information governance aligns with frameworks such as ISO 15489, ISO 27001, GDPR, and local archiving laws
- Conduct internal reviews and contribute to audits and investigations related to information handling
- Provide training, awareness, and guidance to business and technical teams
- Collaborate with information security, legal, privacy, and digital transformation teams to align efforts
Required Qualifications- 6+ years of experience in information governance, records management, compliance, or data lifecycle management
- Strong knowledge of classification standards, information risk management, and data protection legislation
- Experience implementing document management systems (e.g., SharePoint, OpenText, M-Files)
- Familiarity with security controls, access management, and enterprise content management (ECM)
- Ability to create policies, lead governance programs, and work across diverse organizational teams
Preferred Qualifications- Certifications: CIGO, IGP, CIP, CRM, or equivalent
- Experience with digital archiving, e-discovery, and legal holds
- Familiarity with electronic records standards and metadata frameworks (e.g., MoReq, ISO 23081)
- Knowledge of tools and standards for automated classification and retention workflows
- Strong communication and change management skills to support organization-wide adoption
