The Role

This role will be based in either Paris or Brussels, and you will be required to travel between both locations regularly in order to lead the entire lifecycle of employees during their time with Teneo and support the essential day-to-day People function. You will support starters settling into their role, manage and lead on probation/settling in periods, performance processes, and assist in the promotion and annual salary review process. You will also be responsible for managing and supporting visa sponsorship and renewals, flexible working requests, the leaver process, and many other People-related processes.

There will be opportunities for you to gain experience in supporting the Europe region with the view to expanding to other regions in the near future. This role will suit someone who has a strong HR administration background and has managed multiple HR processes for a fast and demanding company. The ideal candidate will be fluent in French and English, approachable, flexible, comfortable working in an ambiguous environment, highly organized, proactive, and possess strong attention to detail.

Key Responsibilities

  • Be a key point of contact for all people-related queries, providing an exceptional level of customer service to all employees.
  • Manage and lead all employee lifecycle processes: Starters, Probation/settling in periods, Leavers, and Contractual Changes.
  • Day-to-day management of our HR Information System Workday, ensuring all employee records are kept up to date and accurate.
  • Support Talent Managers during the employee probation/settling in period review to ensure employees are on track, working alongside People Team colleagues to manage any probation extensions and ensuring timely completion of probations.
  • Coordinate and process employee documents throughout the employee lifecycle as required, e.g., promotion and annual pay changes, as well as other contractual changes.
  • Collate monthly payroll data, supporting the administration of all employee benefits, liaising with payroll vendors and payroll managers to ensure accurate and smooth payroll processes.
  • Guide all expectant parents through our parental leave policies, including administration of all documents and being the point of contact for any questions before, during, and after their leave from Teneo.
  • Support the business with any local learning or development needs, organizing training sessions and sourcing suitable vendors while collaborating with the Global Learning team as necessary.
  • Regular reporting and management of holiday and absence records, as well as ad hoc reporting needs.
  • Support in the management and logistics of the Goal Setting and Performance review processes, running training sessions for managers and employees.
  • Contribute towards providing meaningful analytics to enable business improvement (e.g., exit interview summaries, absence data, headcount reports, start and leaver reports).
  • Work closely with the other People Coordinators and People advisors within the Global People Operations team to ensure a seamless process in relation to all HR administration.
  • Support the People Ops Team on any new project initiatives that will enable us to continually improve the services we offer and enhance the employee experience.

Skills & Experience

  • Fluent in French and English, both written and orally.
  • Prior HR experience within Belgium and/or France.
  • Strong administration skills with excellent attention to detail within an HR context.
  • Ability to prioritize a busy and demanding workload, be flexible, and adapt to the evolving needs of the business.
  • Act with discretion, integrity, and professionalism at all times; communicate effectively and openly with people at all levels.
  • Proactively take on the challenge of unfamiliar tasks and be passionate about creating a first-class employee experience.
  • Enthusiastic, proactive, self-motivated, and an idea generator, not satisfied with maintaining the status quo.
  • A strong team player with a flexible, pragmatic, and collaborative approach.
  • A high level of discretion, confidentiality, and professionalism when handling sensitive data.
  • Strong work ethic and a desire to work in a fast-paced role, with a passion for creating an awesome employee experience.
