HR Admin FR-ESP Role

Reporting to : HR Manager

Scope : Support the HR Manager in the administrative management of the French and Spanish perimeter (3 entities).

Key Responsibilities :

  • Onboarding & Employee Records : Support the onboarding process by preparing and managing new hire documentation. Maintain and update employee records, ensuring compliance with legal and company requirements.
  • Variable elements & Compensation Administration : Assist with payroll preparation by providing relevant employee data and variable payroll elements. Assist with follow-up of working hours, leaves, and benefits-related changes on HRIS tools.
  • Employee Support & HR Policies : Handle first-level (simple) employee queries regarding HR policies, benefits, and procedures. Ensure smooth communication between employees and HR for administrative matters. Promote a positive and inclusive work environment by supporting HR initiatives related to diversity, equity, and well-being. Assist in employee engagement activities to foster a strong company culture and a great place to work.
  • Training & Development : Manage the administrative aspect of the French training plan (“plan de formation”), ensuring compliance with the legal requirement of spending 1% of the payroll on training. Assist in organizing training and development programs in Spain if applicable.
  • Legal Compliance & HR Reporting : Prepare HR reports and documentation as required. Ensure compliance with French and Spanish labor laws and company policies.
  • Health & Safety / Disability Support : Coordinate occupational health doctor appointments and related administrative processes. Act as the company’s disability (handicap) referent, ensuring compliance with disability policies and initiatives.
  • General HR Support : Provide administrative support to the HR Manager on various tasks. Assist in ad-hoc HR projects as needed.

Requirements :

Languages : Fluent in French and English (Spanish is a plus).

Experience : Previous experience in HR administration or a similar admin role.

Work Arrangement : On-site presence required, with the possibility of remote work 2 days per week.
