Qualifications

  • Au moins 3 ans d'expérience dans des rôles de gestion administrative/financière.
  • Maîtrise de l'anglais et du français, à l'oral comme à l'écrit.
  • Capacité à gérer plusieurs missions en parallèle.

Responsabilités

  • Gérer la facturation client et le suivi des encaissements.
  • Préparer la paie et gérer les demandes de congés.
  • Assurer le bon fonctionnement du bureau de Paris.

As an Administrative Manager and Office Manager , you will play a key role in the smooth running of our Paris office. Reporting directly to our Administrative and Financial Manager, you will be a pillar of the team , responsible for various administrative, financial and organizational tasks. Your mission: to ensure optimal management of administrative processes, invoicing, payments, recovery, as well as the relationship with our service providers, while working to create a pleasant and productive working environment.

Main missions:

Administration & Billing

  • Manage customer invoicing (via Pennylane), monitor collections and ensure follow-ups if necessary.
  • Organize and classify supplier invoices, ensure their entry and the proper execution of payments.
  • Participate in monthly closings and social/tax declarations.
  • Monitor relations with the accountant and compile the information necessary for the balance sheet.

Payroll & Human Resources Management

  • Prepare payroll via PayFit (variable elements, absences, leave) and ensure compliance with administrative procedures.
  • Manage schedules, monitor leave requests, and support employees in their procedures (onboarding, offboarding).

Office Management:

  • Ensure the smooth running of the Paris office: relations with service providers (lease, insurance, services) and purchasing management (supplies, consumables).
  • Ensure a pleasant working environment: organize the layout of the space, coordinate team events and propose initiatives to strengthen cohesion.
  • Manage the organization of business trips and the reservation of rooms/equipment necessary for meetings.

Education & Experience:

  • Degree in business administration, management or similar field.
  • At least 3 years in administrative/financial and/or office management roles, ideally in a start-up or similar environment.

Skills

  • Proficiency in Google Workspace, Microsoft Office (Excel) and, if possible, PayFit and Pennylane.
  • Excellent command of French and English, both spoken and written.
  • Organization, rigor and ability to juggle several missions simultaneously.
  • Good interpersonal skills, sense of confidentiality and autonomy.
