About the Agency

Our client, eu-LISA, is the European Union Agency responsible for operating large-scale IT systems that help keep Europe safe and support cooperation in areas like security, migration, and justice. Civitta, in cooperation with Talenta, provides temporary agency workers to eu-LISA.

We are looking for

Facilities Operations Assistantto support the Facilities team within the Corporate Services Department. The position is based in Strasbourg, France.

In this role, you will support the efficient operation of eu-LISA's facilities by coordinating general services and assisting with infrastructure maintenance. You will work closely with internal teams and contractors to ensure a safe, well-functioning, and organised work environment for the Agency.


What will you do:
  • Process internal facility-related requests, including tickets, emails, and ad hoc enquiries.
  • Support the administration and efficient use of office spaces and facilities.
  • Assist with the coordination of office infrastructure, basic maintenance, and health & safety measures.
  • Contribute to the smooth running of daily facility operations and general coordination tasks.
  • Track facility activities, schedules, and maintain accurate documentation.
  • Coordinate contractor access and maintain records of service visits and scheduled maintenance.
  • Support the management of facility-related documentation, ensuring compliance with internal procedures.
  • Provide logistical support for internal and external meetings, workshops, and conferences.
  • Assist with meeting room setup and ensure necessary materials are available.
  • Prepare reports, notes, letters, presentations, and meeting minutes.
  • Contribute to basic planning, organisational tasks, and general support activities under supervision.
What is required of your profile:
  • Post-secondary education attested by a diploma.
  • At least 2 years of experience in a similar administrative, facility management, or general services support role.
  • Good command of written and spoken English (minimum B2 level).
  • Basic command of French (minimum A2 level).
  • You hold the nationality of an EU Member State, or of Norway, Iceland, Liechtenstein, or Switzerland.
  • Ability to work effectively, independently, and with attention to detail in a multicultural environment.
