In a context of complex, multi-country operational delivery and transformation, this role is key to support the Chief Information Officer (CIO) in running and maximizing the performance of the CIO's department, aligned with our SCALE UP strategy, focusing on cost efficiency and quality.

This position provides critical support to the CIO, working closely on daily activities, managing key initiatives, and ensuring effective coordination across teams and departments. The Executive Assistant (EA) acts as a liaison, helping prioritize and drive important projects, streamlining operations, supporting organizational priorities, leading transversal studies, coordinating global projects, preparing meetings, and enhancing the leadership team's effectiveness.

The main responsibilities include:

  1. Executive support
  2. Partner with the personal assistant to anticipate the CIO's needs: preparing meeting content, briefs, communications, managing documents, and archives.
  3. Coordinate and manage the governance of the CIO's team, including agenda setting, presentation preparation, recording, follow-up on actions, tracking goals, and information dissemination.
  4. Assist in preparing strategic and operational notes and presentations for various audiences, reviewing documents for the AXA Partners Executive Committee, and collaborating with teams on shared topics.
  5. Ensure follow-up and implementation of decisions, keeping stakeholders informed.
  6. Regularly suggest improvements to governance and operational efficiency.
  7. Ensure meetings are well-organized, timely, and productive.

Studies and analyses

  1. Lead and coordinate studies within the IT function across AXA Partners and with the Group, engaging relevant stakeholders.
  2. Monitor and follow up on deliverables in collaboration with the Senior Leadership Team.
  3. Promote agile methodologies and OTOBOS project principles (On Time, On Budget, On Scope).
  4. Maintain an up-to-date organization chart of the IT function.
  5. Contribute to communication efforts regarding transformation and business activities.

The ideal candidate will have:

  • At least 5 years of experience, preferably related to IT projects, in an IT environment, or management consulting, with an interest in technical topics.
  • Strong communication skills adaptable to diverse cultural and international contexts, with experience working in a matrix organization.
  • Advanced analysis and synthesis skills, with experience in program/project management, change management, and proficiency in PowerPoint, Word, etc.
  • A delivery-oriented mindset, eager for continuous improvement.
  • A proactive approach, anticipating needs and actions.
  • Deep listening, humility, pragmatism, and confidentiality.
  • Fluency in English and French; Spanish is a plus.
