Qualifications

  • Au moins 3 ans d'expérience en tant qu'Assistant(e) Exécutif(ve) ou dans un rôle de coordination.
  • Bilingue français-anglais, compétences organisationnelles excellentes.
  • Capacité à travailler de manière autonome dans un environnement en croissance.

Responsabilités

  • Gérer l'agenda et les déplacements du Directeur Général.
  • Coordonner les entretiens et l'intégration des nouvelles recrues.
  • Organiser des réunions internes et rédiger les comptes rendus.

About the Role

We are looking for a dedicated Executive Assistant to support our Managing Director and senior leadership, ensuring smooth operations during our growth phase. The ideal candidate will be highly organized, proactive, adaptable, and committed to professionalism and excellence in every task.

Key Responsibilities

  1. Executive and Admin Support
  • Manage the Managing Director’s calendar, meetings, and travel arrangements (itineraries, visas, bookings)
  • Prepare and submit expense reports for the MD and key leaders
  • Handle emails and correspondence on behalf of the MD
  • Provide translation support (French to English and vice versa)
  • Hiring & Coordination Support
    • Coordinate interviews and onboarding logistics for new hires
    • Track and organize candidate documentation and calendars
    • Assist in communication with recruitment agencies and potential hires
  • Event & Meeting Logistics
    • Plan internal meetings, offsites, and small team events (venue booking, catering, materials)
    • Prepare basic PowerPoint presentations and internal documents
    • Take meeting minutes and circulate recaps as needed

    Who You Are:

    • At least 3 years of experience in a similar Executive Assistant or coordination role
    • Fluent in English and French
    • Excellent organizational and multitasking skills
    • Comfortable working independently in a fast-paced, growing environment
    • Discreet, professional, and resourceful
    • Proficient in Microsoft Office (Outlook, PowerPoint, Word, Excel)
