Maison Margiela, intégrée au groupe OTB, recherche un(e) Assistant(e) Exécutif(ve) pour soutenir le CEO. Ce rôle implique la gestion d'agenda, la coordination de réunions, la communication avec les parties prenantes et le contrôle des dépenses. Le candidat idéal possède une expérience de 3 à 5 ans, une maîtrise des langues (français, anglais, italien) et une bonne maîtrise de Microsoft Office. Une flexibilité et une discrétion sont également essentielles.

John Galliano was named Creative Director of the house in 2014, bringing his sense of spectacle and creative mastery to the unique ethos of Maison Margiela. Whilst developing his own vision for the house, John Galliano has entirely respected the Martin Margiela state of mind, creating a fascinating organic process.

In the context of a replacement CDD your missions will be :
Job mission
Provide high level secretarial and administrative support for our Company CEO with discretion, confidentiality, a good understanding of business vocabulary and a good knowledge of Group organization structure (key roles and people)
Job responsibilities and activities
Directly reporting to the CEO, the Executive Assistant has the following main responsibilities:
Management of agenda - meetings and travels:
- Manage the CEO’s appointments scheduling and making travel arrangements to make best use of his time and optimize the transportation expenditures as well.
- Coordinate internal and external meetings so that they can run smoothly. This activity includes scheduling meeting times, make travel arrangements for attendees and ensuring that various meeting amenities are available for example equipment, food and drinks.
Internal and external communication:
- Facilitate smooth communications not only between CEO and other executives, managers and employees but also between the CEO and external parties.
- Answer telephones, screen calls and take messages from external or internal sources so that callers/visitors are dealt with promptly, courteously and accurately.
- Respond to more complex or escalated inquiries from other secretarial staff.
- Gather, compile, verify and analyze information for the CEO to use in documents such as memos, letters, reports and presentations.
Control of expenditure:
- Maintain the CEO’s office and accounting records.
- Monitor standard expenditures to ensure that the activities of the office are conducted within established procedures.
Steering Committee:
- Administrative support to the leadership team
- Agenda management
- Reporting following the meetings
Skills and experience
- Significant PA experience preferably in multinational companies: preferrable in retail or fashion industry;
- Around 3-5 years of work experience on this role;
- Problem solving capability;
- Fluency in French, English and in Italian;
- Proficiency with Microsoft Office;
- Empathy, flexibility and confidentiality.
