Job description :
Reporting to the Managing Director ROW (rest of the world), you will provide a broad range of office functions and secretarial support to the Managing Director, ROW.
The responsibilities include but are not limited to :
- Executive Assistant: Personal admin support to managing director
- Managing and coordinating complex calendars, organizing meetings and appointments for managing director and head of departments
- Managing important tasks and deadlines for managers/executives
- Organizing meetings, preparing reports, minutes, and following up on actions
- Preparing presentation documents for working committees
- Organizing and collecting essential information for updates and needs
- Organizing events and conferences
- Monitoring various transversal projects
- Organizing travel support for managing director and head of departments
- Acting as liaison for visitors from other Believe entities worldwide
Office Management
- Managing relationships with vendors, suppliers, and external service providers (telco, internet, cleaning, etc.)
- Liaising with the landlord on structural issues, problem resolution, fire safety, and security
- Responding to emergencies or urgent facility issues
- Handling general administration duties, maintaining office equipment, and managing repairs
- Maintaining and replenishing pantry and stationery supplies
- Managing postage, mail, courier services, and business card printing
- Maintaining and updating the Asset Register, including asset tagging
- Performing general administrative and secretarial duties, including correspondence with stakeholders
Qualifications :
- High accuracy in data entry and information preparation
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Strong stress and time management skills
- Ability to maintain confidentiality
- Team player with good interpersonal skills
- Ability to work diligently, independently, and under time constraints
- Fluent in English; Russian language skills appreciated
- Minimum 2 years relevant office administration experience and 1 year as an Executive/Personal Assistant
- Meticulous, organized, proactive, and detail-oriented
