JOB DESCRIPTION / PURPOSE:

Responsible for the overall operations and maintenance of the assigned facility ensuring excellent customer service to building occupiers at all times whilst ensuring full compliance with local and national Environmental, Health & Safety legislation.

ESSENTIAL DUTIES:

  • Office Management
  • Raise, approve invoices, and chase payments
  • Lease contract support
  • Document, file and contract management
  • Manage receptionist and cover as needed
  • Remote management and support for other clients locations within the EMEA region
  • Administrative Tasks
  • Manage room bookings and meeting support
  • Create, maintain and manager staff ID Cards
  • Support clients with parking
  • Sort, organise mail (including for locations in France)
  • Manage shipping and coordinate fleet management
  • Support with laptop and telephones, including collection of old laptops
  • Any other tasks delegated by Facilities Coordinator

Skills, Education and Experience:

  • Previous office experience
  • Fluent in written and verbal English and French
  • Excellent communication, written and organisational skills
  • Strong ability to handle multiple tasks,
  • Must possess ability to act competently in a crisis situation while maintaining a calm and professional manner
  • Ability to be cooperative with other employees to ensure a smooth running, effective office operation
