JOB DIMENSIONS

The Service provider will enable the Germany Offshore Wind Projects (NordSee Energies 1, NordSee Energies 2 and OstSee Energies) team to achieve critical project milestones in accordance with project requirements.

The service provider is responsible for the general administration, secretarial and related logistics matters for the Execution Team – Offshore Wind Germany (OneTech branch), based in Paris.

ACTIVITIES

The Service provider is responsible for the general administration, secretarial and related logistics matters for the OneTech GPI-Germany team based in Paris in relation to the development of the offshore wind projects NSE1, NSE2 and OSE.

The Service provider is also accountable for demonstrating an exemplary behaviour with regard to HSSE rules and requirements.

The service holder will be primarily responsible for the following activities:

  • To organize and follow up Project Management team agenda as requested.
  • To manage and order necessary offices supplies.
  • To organize or give assistance for the organization of meetings and associated logistics (internal meetings / meetings with Partners / Contractors or special events).
  • To welcome and guide visitors.
  • To assist in the organization of the arrival of newcomers and departures (assignment of offices, IT and phone equipment...).
  • To maintain Project Directory, schedule of absence / presence / missions and any other directory as necessary.
  • To organize travel arrangements for the Project team (Paris based) as necessary: organise missions, perform bookings and treat in a timely manner expenses statements of travellers via Treck+.
  • To assist OneTech personnel in the registration of Time Sheets (MyCats) and other requested information and data as requested by internal rules.
  • To keep informed the Project Management team of matters related to the office building.
  • To support the Project team for material purchases (My eProc) and to manage Purchase Order creation for external commitments.
  • To liaise with other assistants for ensuring whole consistency of the organization of their work.
  • To type / register / manage outgoing correspondences or any paperwork for Project Management team as requested, in coordination with project Document Controller.
  • To receive / dispatch / register / manage information and correspondences, in coordination with project Document Controller.
  • To manage on behalf of the team, interface with building management for any reporting and follow up of offices in Tour Couple.
  • To report to Project Director or Project Control Manager any area of concern.
  • To adopt and demonstrate exemplary behaviour with regard to HSSE and to respect all HSSE requirements.

CONTEXT AND ENVIRONMENT

The company comprise a team of professionals passionate about deploying clean energy and bringing new opportunities to communities. After a successful German federal offshore wind auction in 2023 & 2024, the company with the support of OneTech is developing the North Sea N-12.1, North Sea N-11.2 and Baltic Sea O-2.2 offshore wind projects for a total capacity of 4,500 MW.

QUALIFICATIONS & EXPERIENCE REQUIRED

  • Secretarial / Administrative Assistant related diploma or equivalent.
  • Advanced expertise and experience of Project Administration and secretarial techniques.
  • Experience with Office suite (Word, Excel & Power point).
  • Personal and business organizational skills, including Project management.
  • Ability to interact and to work closely with various stakeholders including but not limited to diverse international teams, contractors & subcontractors, affiliates, HQ, etc.
  • Organizational skills, effective communicator, both written and verbal (English mandatory).
  • Experience with Health Safety and Environment (in offices) practices.
  • Ability to take ownership of projects and tasks, work independently and follow through on assignments with minimal direction.

QUALIFICATIONS & EXPERIENCE REQUIRED

The Service is based in Paris area, France and could require travel to locations within Europe including Hamburg, Germany.

Full time in the office. Very limited remote working possibility
